Organizational Description
ScholarShot is a non-profit 501(c) (3) organization located in Dallas, TX, started in
2009. ScholarShot focuses on helping at-risk students exit poverty by earning career-ready college degrees. In the State of Texas, 9 out of 10 at-risk students who enter college will dropout.
ScholarShot works with these students to fill 2 critical gaps to be sure they complete their academic degree:
1. A Plan to Succeed - Students receive a plan, and ongoing success counseling to be sure they are enrolled in and succeeding at the right school.
2. Financial Support - We provide financial support to bridge the gap between the true cost of education and available public funds, minimizing each student’s debt.
ScholarShot has developed a proven formula in which over 90% of its Scholars earn vocational, associate, or undergraduate degrees in 1, 3 or 5 years respectively, and with less than 1/3rd the state’s average debt. Our Academic Managers are critical to our success because they help our scholars navigate the academic, financial, and social challenges of earning a degree.
ScholarShot is a faith-based, Christian organization. Although students enrolled in
ScholarShot need not be professing Christians, the staff, leadership, and Board of
Directors are Christians and form its mission and guiding principles on Biblical precepts.

Academic Manager - Job Description 1
Manages the academic, financial, and administrative management of students within the program. Ensures at-risk students execute their degree plans and financial plans to graduate on time. Manages roadblocks from educational institutions and circumstances arising from families of generational poverty. Administratively manages student data and internal reporting. Academic Managers will oversee up to
50 Scholars at any time. All other duties as assigned.
The position reports to the Director of Scholar Success.
Key Responsibilities & Duties
1. Academic Management (60%): oversee Scholar’s academic progress throughout the academic year. Build relationships to act: advising, shepherding, and correcting in areas of academics and housing that impact the total student experience (home, work, study and time management). Builds relationships with educational institutions to ensure ScholarShot’s visibility, credibility, and student advocacy.
- Connect with each Scholar twice per month either in writing or verbally to ascertain academic status (grades, overall grasp of subject matter, study habits, short/long term assignments) and personal updates (emotional state, prayer request social/relational issues with family and classmates).
- Advise the student and address academic or social roadblocks before they become insurmountable. Determine remediation actions and engage mentors or the Director of Scholar Success when appropriate. Use the shared on-line tracking tool or personal contact (phone, face-to-face) to gain accurate status.
- Work with Scholars to create an up-to-date degree plan to project graduation or transfer date.
- Advise and guide students through the financial aid (FAFSA/TASFA) process and ensure students are following institution’s Satisfactory Academic
Progress (SAP).
- Maintain Scholar records, contact information, Scholar lists and relevant documents (ie: application, transcripts, financial aid info) in an on-line source for soft copy formats.
- Continually improve administrative tracking to reduce unproductive time on behalf of ScholarShot and the Scholars.
- Ensure Scholars are enrolled (or re-enrolled) on time for all new semesters.
Intervene with students on academic probation or with outstanding financial balances.

- Ensure Scholars are connected to appropriate student resources (counseling, tutoring, financial aid) at their college.
- Travel to visit Scholars at certain institutions outside the DFW area. May require overnight travel.
- Conduct semester-end reviews with Scholars.
2. Financial Management (20%): ensuring Scholars understand and remain current on education funding (grants, scholarships, gifts, loans) prior to the start of each semester. Teach and assist Scholars with their personal financial budgeting; scrutinize and approve incremental funding throughout the year.
- Verify financial packages/plans are obtained from school and certify they align with the Scholar’s academic plan.
- Ensure Scholar’s individual funding applications and funding sources are aligned, current and ready for the upcoming semester.
- Engage in assisting Scholar with housing and housing allowances.
- Evaluate, process, and approve or adjust student funding requests twice per month.
- Manage Scholar’s ScholarShot budget.
3. Reporting & Communication (20%): using existing tracking tools to stay current with each student academically and financially. Regularly update data to maintain core metrics on student population, academic status and financials compared to objectives. Owns data sources. Creates process improvements regarding the tracking and reporting of Scholar status (both individually and organizationally).
- Update and maintain operational metrics data. (Scholar population data,
GPA, graduation rates, and more).
- Communicate with and guide mentors on status of their Scholar and how to lend assistance.

Knowledge and Skills

- Ability to build meaningful relationships. Experience with: o First time in college (FTIC) and/or currently enrolled1st generation college students o Strong written communication skills o Comfortable speaking to small groups: staff peers, Executive Director and
Board of Directors. o Ability to advocate ScholarShot to colleges and Academic Advisors.
- Ability to navigate academic options and give appropriate advice to college students.
- Ability to problem solve academic issues (study habits, consultations with professors, adding/dropping courses, etc…).
- Takes initiative, is a self-starter, ability to complete projects and tasks with minimal supervision, and is comfortable presenting in front of diverse audiences.

Education and Experience
Required
- Bachelor’s degree
- 1-3 years of Texas college admissions or college advising experience
- Experience with at-risk first time in college (FTIC), and 1st generation college age students. Mainly focused on post-secondary education or access.
Desired
- 3-5 years’ experience working/volunteering with FTIC, 1st generation college students.
- Student case management experience
- Bilingual
Work Environment
- Option of working at home, in office space in downtown Dallas (2904 Swiss
Avenue, Dallas, TX 75204) or hybrid of both.
- Must have reliable transportation for driving to Dallas-area and Texas college campuses for meetings with academic personnel and/or students.
