Accounting Administrative Assistant Job at Gads Hill Center
JOB SUMMARY:
The Accounting Administrative Assistant provides critical support to the agencys Finance Office to ensure full compliance with agency and contractual fiscal requirements. This position is also responsible for the agencys accounts receivable and maintaining accurate financial records for the organization. This includes reviewing fiscal documents and providing support to staff to accurately process parent invoices.
DUTIES AND RESPONSIBILITIES
- Assists in accounts payable, check preparation, general ledger data input and invoicing.
- Match invoices with purchase orders.
- Collects check signatures from authorizes signers on a weekly basis.
- Sort and compile checks and invoices.
- Distribute internal checks via interoffice mail and mail vendor payments.
- Assists with weekly deposits and enters them in the accounting software system.
- Match deposits with Development batch reports and bank deposits on a weekly basis and get approval on deposit.
- Gathers check requests and checks and make copies for monthly vouchers.
- Assist in month end reporting procedures.
- Assists by compiling backup documentation for various audits throughout the year.
- Files and maintains accounting documents, records and reports.
- Creates monthly Head Start, Early Head Start and Early Head Start Child Care Partnership Personnel Activity Reports.
- Creates ISBE Personnel Activity Reports and ISBE audit reports on a monthly basis.
- Creates Teen Reach Personnel Activity Reports on a monthly basis.
- Reviews agency in-kind and enters data into COPA.
In addition to the responsibilities listed above, all Gads Hill Center employees are responsible for the following:
- Participating in agency outreach and recruitment events, including evenings and weekends.
- Participating in supervision meetings and workshops within the agency and outside (if applicable).
- Participating in civic engagement activities that advance the mission of Gads Hill Center.
- Advancing parent leadership development.
- Performing other duties as assigned.
QUALIFICATIONS:
- Associates Degree required. Bachelors Degree in Accounting, Finance, or equivalent preferred.
- Strong computer skills including Microsoft Word, Excel, and Outlook.
- Previous finance or accounting experience required.
- Excellent written, verbal and interpersonal communication skills.
- Solid analytical, problem-solving and organizational skills.
- Ability to translate financial concepts to colleagues who do not necessarily have finance background.
- Ability to pass a criminal record and child abuse/neglect registry check.
- A passion for the mission of Gads Hill Center.
