Job Description

Accounting Assistant


  • Organizes and performs accounting activities by receiving invoices and reconciling billed charges.
  • Maintains a system to track payments and prevent duplication. Routes invoices to department managers for review and approval.
  • Looks in system for payment completion and adds check numbers to document for future correspondence with vendor.
  • Compiles monthly grant invoices for reimbursement and reconciles receipts monthly.
  • Collect and coordinate patient payments in a considerate and respectful manner for both the facility and professional accounts and issues accurate receipts.
  • Makes copies of daily receipts and faxes to Main Campus Cash Office daily and sends copies of Deposit Log to Business Office.
  • Prepares daily bank deposits and change orders accurately.
  • Accurately maintains petty cash daily, keeps accurate cash logs, and accounts for contents of the safe.
  • Communicates professionally with patients concerning clinic visits including deposits and co-pays that are required. Documents all actions in patient management system and scans documents as needed.
  • Ability to compute discounts for self-pay and UCC Partial patients. Ability to reconcile accounts after reviewing charges, payments, and adjustments.
  • Verifies insurance coverage accurately and in a timely manner by running eligibility in Paragon and reviewing the Medicaid website.
  • Helps with Property Control, coordinating annual inventory and reconciliation of the State's assets at all Campuses. Organizes equipment moves between departments and back to Moss Memorial for surplus.
  • Coordinates Annual Equipment Surplus when requesting and sending equipment back to the State.
  • Assists with updating the online State Property Inventory System and runs reports from the same system as needed.
  • Assists with picking up medical records from the clinics and performs scanning and indexing of medical records daily.
  • Must possess competency in use of technology and computers.
