About the role:
Our Accounts Payable Accountants are responsible for ensuring accurate and timely accounts payable processing and is responsible for the overall maintenance of vendor accounts.

What you will do:

  • Verifies invoice date and accounting date look reasonable and posts to general ledger.
  • Reviews accounts payable batch controls generated by the accounts payable clerk.
  • Reconciles various accounts to include accounts payable liability, accounts payable accruals, accounts payable discounts, accounts payable retainages, un-vouchered liability and working fund accounts.
  • Maintains and verifies accuracy of accounts payable source system journal entries to the general ledger.
  • Working with internal staff, researches accounts to identify necessary adjustments.
  • Prepares journal entry corrections for manager approval and ensures entry is posted correctly to the general ledger.
  • Communicates with the applicable staff and ensures processes are in place to prevent similar future mistakes.
  • Post journal entries related to check runs.
  • Review account coding on purchase orders, contracts, and invoices.
  • Ensures applicable discounts are evaluated and processed timely.
  • Ensures employee travel advances are issued and paid in a timely manner.
  • Review incoming travel advance requests and employee travel advance history.
  • Work with accounts receivable personnel to enter request into appropriate account to ensure timely payment to the employee and to clear any funds out of the applicable account after travel is concluded.
  • Reviews business expense reports after travel is concluded and verifies accuracy.
  • Enters travel expense data to reimburse the employee if expenses are due and/or collect funds if the travel advance was in excess of actual expenses.
  • Maintains W -9 and 1099 documentation.
  • Ensures all vendors receive and submit appropriate tax-identification documentation (W-9 Form).
  • Ensures applicable tax information is entered into accounting software application. Files hard copy documentation and/or scans information into appropriate electronic file.
  • Creates 1099 forms using applicable software application, reviews, makes necessary adjustments and submits to manager for approval.
  • Maintains information on CEA monthly and yearly leases.
  • Prepares information for quarterly reviews and annual audits as needed.
  • Coordinates with human resources and payroll to prepare annual employee moving expense information for inclusion on W-2's.
  • Performs Accounts Payable Clerk duties as assigned.
  • Performs other job-related duties as assigned.

What makes you a good fit:

  • A high school diploma or equivalent is required. Completion of six (6) college-level semester credit hours in accounting courses is required, to include principles of accounting, managerial accounting, financial reporting or more advanced coursework.
  • Two (2) years of accounting experience required, one (1) of which must have been in accounts payable.
  • Additional accounting experience beyond the specific two year minimum may be substituted for the educational requirements at the rate of one (1) year accounting experience for six (6) semester credit hours of accounting courses.
  • Must be familiar with and understand accounting principles, account reconciliation and analysis, accounting spreadsheets and invoicing.
  • Proficiency in the use of software applications. Strong numerical data entry skills and attention to detail. Ability to organize and manage multiple projects and priorities. Problem solving and analytical thinking skills. Strong communication skills, including the ability to interpret technical data and communicate technical data/information to other personnel.
  • Occasional overtime and travel (sometimes including multiple day/overnight travel) is required.
