Position Summary:
The primary responsibilities of this role include administrative support, project management, and reporting and schedule updates. The ability to interact with staff and external partners at all levels, in a fast-paced environment, under pressure, while remaining flexible, proactive, resourceful, and efficient is crucial to this role. This person should be well organized, flexible, resourceful, have a team-oriented attitude, and be able to work independently with little or no supervision.

Essential Functions:
- Coordinate on-site and off-site meetings, including meeting logistics, meeting agenda and presentation preparation
- Coordinate conferences and meetings including registration deadlines, activity descriptions, travel arrangements, communicating updates and deadlines to all parties participating
- Attend onsite and out-of-state meetings and compile, transcribe and record highlights and action items as needed
- Prepare presentations, reports, summaries, or replies to inquiries
- Arrange travel for various YES leadership team members, including the executive team
- Research and prepare summaries of products, initiatives and internal systems as requested
- Efficiently manage shifting priorities to meet deadlines and action items
- Recommend, develop, and streamline both processes and reports for the leadership team
- Create and maintain reports and summaries for YES leadership team
- Prepare internal and external corporate documents for team and industry partners
- Manage the YES Employee rewards program
- Other duties as assigned by executive team
- Intermediate working knowledge of Microsoft Excel
- Extensive knowledge of calendar management using Microsoft Outlook
- Proven ability to manage travel itineraries, including airfare and hotel accommodations
- Excellent note taking and follow-up skills
- Proven ability to create, edit, and update company presentations through Microsoft PowerPoint
- Ability to maintain a strict level of confidentiality
- Proven analytical and problem-solving skills
- Ability to apply knowledge to creatively develop solutions to requests and inquiries
- A professional, customer-focused approach when communicating with senior management, high-level external clients, and all YES team members
- Excellent oral and written communication skills
- Self-motivated, independent, and able to work with minimal supervision
