Position Summary: The Administrative Assistant provides administrative and clerical support to the Family Relief Nursery site. This position requires exceptional administrative skills and attention to detail, balanced with excellent interpersonal skills. The Administrative Assistant is responsible for performing a variety of tasks including ongoing data collection and reporting for state and local funders. This position may be asked to work with children to support classrooms, as needed.
Compensation: $17.21 - $20.08/hour (Depends on Experience and/or Certifications). This is a part-time position with excellent benefits! - High school diploma or GED required.
- Minimum of two years’ experience providing administrative support.
- At least one year of experience working with children and families.
- Knowledge and experience with data collection and data entry.
- Pleasant, professional manner with ability to handle multiple and diverse inquiries.
- Ability to create a welcoming environment and respond supportively to staff and clients.
- Knowledge and/or experience of Trauma Informed Care preferred.
- Intermediate to advanced skills using MS Office (Word, Excel, Access, Outlook).
- Effective time management, multi-tasking, and organizational skills.
- Excellent communication skills, both oral and written.
- Ability to work independently and in a team environment.
- Adaptable and open to learning new skills and taking on additional projects as assigned.
- This position requires current enrollment in the Oregon State Employment Department Child Care Division Criminal History Registry.
- Current First Aid/CPR and food handler’s card or ability to obtain within 30 days of hire.
- Reliable vehicle, active driver’s license, current insurance, and the ability to pass our insurer’s driving standards and maintain a good driving record.
- COVID-19 Vaccination Requirement: To protect the health and safety of VOA Oregon clients and employees and to be compliant with local, state, and federal mandates, VOA Oregon requires employees to be fully vaccinated against COVID-19 or have an approved medical or religious exception as a qualification of employment. Candidates who receive an offer of employment must provide proof of vaccination upon hire or submit an exception request and have their request approved prior to their start date.
- Perform clerical functions including, but not limited to typing, filing, copying, mail processing, modifying program forms, assembling packets, and assisting Program Director in the preparation, editing and delivery of funder reports, grant applications, and promotional materials as needed.
- Greet staff, clients, and visitors to the program with a positive and compassionate manner.
- Primary contact for the program database and client information.
- Ability to create new program forms and revise existing forms to adapt to program needs.
- Track daily client participation (i.e: attendance reports, home visits and uploading to the database).
- Assist with community outreach; make calls on behalf of the program for enrollment or other program purposes.
- Prepare and coordinate meetings including scheduling, set-up, reminder emails, agenda, meeting notes taken and distributed.
- Provide assistance to program staff on all administrative-related services such as data entry, monitoring office supplies, meeting preparation, management of phones, computers and other office equipment, and training on office systems and computer applications.
- Maintain county, state and federal record keeping systems and prepare reports through regular data entry of services rendered, child and family records, and administrative files using Web-based data entry systems and Excel spreadsheets.
- Maintain knowledge of child-care licensing and inspection requirements.
- Assist in the classroom as needed.
- Fill in as bus rider as needed.
- Attend trainings for professional development per supervisor’s discretion.
Schedule: Flexible hours, Monday - Friday, up to 30 hours per week.
Work Environment: This position typically works in a licensed child-care facility with moderate light and intermediate sound. Some flexibility to work remotely.
