Arc Herkimer is looking for an Administrative Assistant. As the Administrative Assistant you will support and assist the Herkimer Industries administration in specific areas of records management, financial management, plant operations, and in the clerical function.
Part time 20 hours/week Monday-Friday between the hours of 7:30am-3:30pm.
Rate of pay: $15/hr
Qualifications
- High School Diploma/GED and three (3) years related experience required.
- Associate's degree in Secretarial Science or related field preferred.
- Proficiency in computer applications, specifically with Microsoft office.
Duties include but not limited to:
- Responsible for special projects as assigned by the director, including but not limited to, compiling and analyzing data, creating forms/spreadsheets and leading ad hoc teams/committees.
- Review policies and procedures that are within scope of work, and bring to director’s attention any policies or procedures needing revision or updating.
- As directed by supervisor, facilitate teams to update/revise specific program policies and/or procedures.
- Oversee tracking and documentation of training, reportable and serious reportable incidents, allegations of abuse and other areas as assigned.
- Maintain ISO logs and documents.
- Develop records management system for files on persons served at residences, and polices and procedures. Oversee ongoing adherence to these systems, as well as employee files.
- Oversee clerical aspect of purchasing process. Function as “gatekeeper”, bringing any questionable purchases to the attention of director. Review invoices & packing lists; send paperwork to finance to process and maintain delivery receipt file.
- Assist Director with budget process, as requested.
- Serve as back-up for Vertex software data entry clerk.
- Responsible for supervision of persons served in the Herkimer Industries cafeteria on an as needed basis.
- Provide support to Director and Herkimer Industries administration including, but not limited to:
- Scheduling and coordinating meetings, trainings, and special events; reserving conference room as needed.
- Independently preparing acknowledgements and correspondence.
- Providing support for department special events.
- Oversee ordering, maintenance and distribution of supplies and equipment; place purchase orders with supplies; drive to/from vendor locations to pick up supplies as needed.
- Complete mailing lists for marketing and sales projects.
- Undertake other duties, responsibilities and projects as may be required by Director.
