Daily Duties/Responsibilities:

*Answer front desk calls as needed but especially from 7:30 a.m. to 8:30 a.m. as Phone Operator arrives

*Cover Phone Operator for bathroom, regular breaks and lunch periods

*Cover Phone Operator during absences

*Receive, sort and distribute all mail to all buildings

*Enter handbag registrations in File Maker Pro when covering front desk duties; data entry

*Pick up mail from Consumer Care and Account Specialists every morning before 10:00 a.m.

*Pick up invoices/credit & debits from printer room by 10:30 a.m.

*Process all outgoing mail multiple times per day as necessary and take all mail/packages for pick up to E-commerce area before 3:30 p.m.

*Welcome and direct visitors and clients as needed

*Answer general inquiries and correspondence

Back up for IT tasks (Computer Room Operator)

*Enter credits and/or debits in the system

*Cover for end of month tasks when Computer Room Operator is absent

*Print and mail out customer’s statements at the end of the month (2 days)

Private label Department

*Be available Tuesdays and Thursdays to assist the private label department with fact sheets, filling out spread sheets, filing records, archiving products, etc.

Other Duties and Responsibilities:

*Updates and publishes phone list

*Assist the Program Manager during sales meetings and as needed without interfering with normal responsibilities

*Print postage for special projects for Director of Manufacturing, Production Manager, Shipping/Receiving Manager, and the Program Manager when needed

*Perform other duties as assigned

*Assist other departments when available/needed and approved by manager

Required Skills/Abilities:

*Effective oral and written communication skills

*Excellent interpersonal and customer service skills

*Being familiar/knowledgeable in using Microsoft Office (Outlook, Word, Excel)

*Excellent organizational skills and attention to detail

*Understanding of clerical procedures and systems such as record-keeping and filing

*Ability to work independently

*Ability to maintain confidentiality of records and correspondence

*Knowledge in using: telephone, fax machine, copy machine, computer, scanner

Physical Requirements:

*Prolonged periods sitting at a desk and working on a computer with some bending and reaching

*Must be able to lift up to 15 pounds at times

*Standing, walking, and bending periodically
