The City of Hinesville is accepting applications for an Administrative Assistant in the Community Development Department. This position is responsible for providing administrative support to the Community Development Director and the Community Development Department.

MAJOR DUTIES
~ Performs administrative functions such as preparing agendas, minutes, and correspondences; scheduling, preparing newspaper advertisements, and making travel arrangements; maintaining files and resource manuals; and processing resolutions and intergovernmental agreements as required.

~ Serves as the departmental credit card and petty cash custodian to include maintaining cash drawer and preparing deposits for the Community Development Department and Homeless Prevention Program.

~ Provides technical support as needed for special projects, events, and meetings.

~ Prepares and composes correspondence, legal documents, memoranda, reports, and forms from oral or written instruction.

~ Maintains departmental files on all projects, forms, correspondence, contracts, and recipients to include labeling, organizing, and purging.

~ Ensures that all contractors possess current state licenses, contracts are signed and notarized, and that all required permits are obtained.

~ Prepares newspaper advertisements for public document review or hearings.

~ Maintains the Community Development Department webpage and social media accounts.

~ Assists with all Community Development Department facilitated events.

~ Answers inquiries from city employees, various local government officials, and the general public.

~ Prepares Revolving and CHIP (Community Home Investment Program) Loan payments for deposit.

~ Types from draft or composes memoranda, and correspondence for the Community Development Director.

~ Receives incoming telephone calls and visitors.

~ Maintains appointment calendar for the Community Development Director and makes room reservations on the facilities calendar as needed.

~ Attends various out-of-town classes and seminars to remain abreast of current practices within the community development field.

~ Processes incoming departmental mail.

~ Performs other duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

~ Knowledge of modern office practices and procedures.

~ Knowledge of city personnel and purchasing policies and procedures.

~ Knowledge of bookkeeping.

~ Skill in performing basic mathematical calculations.

~ Skill in utilizing a computer and various word processing software programs.

~ Skill in operating such modern office equipment as a calculator, typewriter and copier.

~ Skill in organizing work.

~ Skill in maintaining complex files.

~ Skill in oral and written communication.

SUPERVISORY CONTROLS

The Community Development Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include city housing codes, granting agency rules and regulations, grant requirements, and departmental policies and procedures. These guidelines are generally clear and specific but require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

~ This position consists of related secretarial and administrative duties.

~ The purpose of this position is to provide secretarial and administrative support to the department. Successful performance helps ensure the efficient and effective operation of the department.

CONTACTS

~ Contacts are typically with other City employees, state and federal agency officials, local elected officials, grant recipients, media representatives, and the general public.

~ Contacts are typically to give and exchange information, resolve problems, and provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

~ The work is typically performed with the employee siting at a desk with intermittent standing, walking or stooping. The employee must occasionally lift light or heavy objects.

~ The work is performed in an office. However, site visits may be required depending on the nature of departmental projects.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

~ An associate degree in Business Administration, Public Administration, or a related field.

~ Sufficient experience to understand the principles relevant to the major duties of the position usually associated with having had a similar position for one to two years.
