Summary:
Responsible for providing primary administrative support including organizing, scheduling, coordinating, compiling, logging and distributing information to and as directed.
Essential Functions:
· General processing of data and information.
· Providing information flow to support operations
· Help Dispatch with paperwork on an as needed basis
· Working with the Accounting Department to make sure they have all the information needed to process AP and AR
· All functions will be performed while not disclosing confidential information
· Assist management and support staff with records management and maintain up to date computerized and/or hard copy files as directed
· Assist other staff as requested and performs other duties as assigned
· Assist with employee timecards, payroll entry, if needed, and computer based tracking
· Compile, copy, sort, and file records and materials needed for office activities, business transactions and other activities
· Create and distribute documents and correspondence as requested by management
· Monitor the use of supplies and equipment
· Operate a computer, scanner and copy machine and produce and maintain record keeping/documentation
· Order supplies and materials, maintain an adequate inventory of office supplies
· Prepare files, records, and other documents to respond to requests
· Provide assistance with administrative functions in a timely, professional and consistent manner as directed by management or the support staff
· Schedule appointments, and maintain and update appointment calendars
· Type routine correspondence and letters as requested by the Vice President/CFO/Controller/Supervisor, etc.
· Welcome visitors and direct them appropriately
Specific duties related to specific areas:
Accounts Receivable
Print, scan and rename invoices
· Attach in Axon
· Email invoices to clients
· File hard copy in AR files
· Email statements
· Collection calls
Supervisory Responsibilities: None.
Qualifications: To perform this job successfully, an individual must be able to perform each essential function and preferably is able to perform other tasks satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
Education and/or Experience:
Minimum: At least two years of job-related experience is required. Valid Driver’s License.
Skills, Knowledge and Abilities:
· Ability to communicate information in writing so others will understand
· Ability to effectively understand and communicate verbally with others
· Ability and knowledge of Office 365 programs
· Ability to work with written and computerized data
· Basic understanding of accounting would be helpful
· Customer service oriented
· Knowledge of and ability to apply administrative support functions, procedures and systems such as word processing, managing files and records, designing forms and other office procedures
· Knowledge of basic clerical and accounting principles and practices
· Knowledge of office protocol and the ability to effectively work as a member of a team
· Time management skills
Physical Requirements: The ability to move and maneuver up to 20lbs.
Working Conditions: Work is usually performed in an office environment with moderate noise level.
