POSITION: ADMINISTRATIVE ASSISTANT / RECEPTIONIST

Summary: Responsible for answering and directing incoming phone calls. Greets customers as they enter the lobby area. Frequently assists with administrative tasks as may be assigned..

Supervisory Responsibilities: This job has no direct supervisory responsibilities.

Essential Duties and Responsibilities may include the following:

  • Answers incoming calls in a courteous and professional manner.
  • Records accurate messages, and ensures careful delivery to recipients.
  • Directs inquiry calls to the appropriate department or person.
  • Greets customers as they enter the office warmly, and with enthusiasm.
  • Directs visitors to the appropriate department or person.
  • Adds notes to the Customer Relations Management database
  • Inspects all copy machines and printers daily upon arrival for paper and toner cartridges/functionality
  • Works with accounting, title, and other office staff to provide basic clerical support; these tasks include making and collating copies, stapling, clipping, and assembling document packets, assisting with calling in lunch orders, and other tasks as may be assigned by management
  • Demonstrates the Company’s Core Values
  • Complies with Company policies and procedures
  • Observes all Federal, State, Local, and Company safety rules and regulations in the performance of duties.
  • Other duties as assigned

Qualifications:

Desired Education:

(Minimum) GED

Related Field(s) of Study:

o Accounting

o Automotive

o Business

o Human Resources

o Information Technology

Desired Work Experience:

Preferably a minimum of 1 year of customer-service-related work

Previous Customer Service or administrative experience in a high-volume environment desired. Strong organizational skills and interpersonal skills required.

Certificates and Licenses (preferred):

o Valid Driver’s License

Computer Skills:

Basic computer skills to utilize the timekeeping system. Basic knowledge of Microsoft Office Products.

Communication Skills:

Ability to understand and follow instructions. Ability to communicate effectively with customers and company personnel.

Attendance Expectations:

The position requires regular and predictable attendance. Scheduled shifts may include evening hours, weekends, and some holidays.

Environment Demands:

Duties are performed primarily at a desk in an office setting. Work includes frequent clerical and administrative responsibilities and interaction with customers, managers and employees. Sitting for extended periods (but with frequent breaks).

Verbal and Writing Ability:

Ability to read and comprehend written instructions, correspondence, and memos, and to write intelligent, structured responses where needed.

Math Ability:

Ability to add, subtract, multiply, and divide.
