POSITION SUMMARY

This position performs primarily administrative work, including organizing, scheduling, coordinating, researching, compiling and analyzing information for the Insurance Agency. The incumbent may assist the department heads in implementing department activities and internal communications. Works closely with department managers, other employees, customers and/or vendors to assist with exchange of information and requests. This position is considered entry level where the incumbent performs basic and routine duties of administrative support.


MAJOR JOB RESPONSIBILITIES

Performs administrative support duties including but not limited to the following:

  • Filing for the department
  • Data entry and billing
  • Reconciliation of American Express and various accounts
  • Backup coverage for the Receptionist
  • Opening and distributing mail
  • Restocking supplies

Maintain and apply for individual and agency licenses

Researches information, compiles statistics, gathers and computes various data; prepares periodic reports or summaries. Organizes and prioritizes information.

Schedules and coordinates meetings, departmental activities and/or conferences.

Acts as liaison with other departments. Interacts with all levels of management. Handles confidential and non-routine information and explains policies when necessary.

Performs other related duties.

SKILLS AND TRAINING

  • Ability to exchange information clearly and concisely and to present ideas, report facts and other information.
  • Ability to manage own workflow and resolve questions and problems with supervisor.
  • Good written and oral communication skills.
  • Knowledge of and the ability to practically apply, modern office practices and procedures including programs for personal computers (Microsoft Excel, Word, PowerPoint, Outlook and

  • Ability to understand and follow safety/security practices.

EDUCATION

High School Diploma or GED preferred

WORKING CONDITIONS

Work is performed in a normal office environment. Noise levels are usually moderate. The employee must occasionally lift and/or move up to 25 pounds.


HAZARDS

The hazards are mainly those present in a normal office setting and those present in commuting locally by car. Occasionally may be exposed to those conditions present in public forums and meeting places.

Hazards may also include (but are not limited to) prolonged sitting, lifting from 5 to 10 pounds (printer paper, storage boxes), occasional bending or overhead lifting (storing files or boxes).
