We are looking for a self-motivated professional with experience in providing administrative support. The candidate must have high level of initiative; be detail-oriented; organized; flexible and adaptable to varied circumstances and environments. The Administrative Assistant provides high-level administrative support to the designated department. Functions include but are not limited to: coordinating/scheduling meetings, taking meeting minutes, preparing correspondence, and compiling data/reports.

Qualifications

  • High School diploma, plus 4 years previous administrative assistant experience; Excellent typing skills, type 60 wpm.
  • Ability to work independently.
  • Performs duties directly related to management and/or general business operations.
  • Must be at least 21 years of age or older.
  • Possess valid driver's license with acceptable driving record, telephone and reliable transportation.
  • Ability to work with minimal supervision.
  • Ability to work well under pressure.
  • Must obtain and maintain a fingerprint clearance card and pass a background check.
  • Strong written and communication skills.
  • Exhibit advanced technology application skills.
  • Ability to operate all office machines (computer, printer, copier, and scanner.)
  • Able to meet deadlines and submit reports in a timely fashion.
  • Provide excellent customer service internally & externally.
  • Ability to type and working knowledge/familiarity with computers and electronic clinical record keeping.
  • Ability to make independent decisions.

Qualifications Preferred

  • Bilingual English/Spanish.
  • Shorthand skills.

Mental and Emotional

  • Mental and emotional requirements include prioritizing workload.
  • Decision-making ability, using sound judgment to field inquiries concerning administrative, clinical and operation concerns.
  • Ability to greet and deal effectively with participants, families, staff and community members.
  • Position requires discretion and Judgment decisions.

Physical

  • Long periods of sitting, ability to bend, lift and carry up to 30 pounds, do filing.
  • Must be able to physically operate a telephone, FAX, copier, computer and calculator.
