Position Details
Insignia is looking to fill an immediate opening for a full-time Administrative Assistant in our Encinitas office.
Job Description
· Maintain office organization and filing systems in accordance with company standards and best professional practices.
· Maintain office supplies and field equipment inventory by checking stock to determine inventory levels, anticipating needed supplies, evaluating new office products, placing orders for supplies, verifying receipt of supplies, and restocking the supplies.
· Ensure office/field equipment and machines are functioning and coordinate repairs or replacements when needed.
· Prepare meeting agendas and document discussions.
· Manage all shipping of letters and packages from the Encinitas office in a cost-effective manner.
· Receive employees, clients, visitors, and vendors coming into the office.
· Assist with invoice preparation and expense reporting.
· Execute employee morale programs, including planning and organizing company events, under the direction of the Human Resources Manager or the Company Executive Officer.
· Assist in building relationships across the company and with key vendors and teaming partners to facilitate the success of the organization.
· Prepare company-wide announcements, social media postings, client correspondence, transmittals, and other communication tasks as requested.
· Prioritize conflicting needs, handle matters expeditiously and proactively, and follow through on projects to completion, often with deadline pressures.
· Support orientation and onboarding of new employees by delivering training on company procedures and expectations.
· Protect operations by keeping information confidential.
· Run errands on occasion as requested.
Requirements
· Minimum of 2 years of experience in an administrative role.
· Bachelor’s degree from a 4-year accredited college is strongly preferred.
· Tremendous professionalism, dedication to outstanding customer service, and composure under pressure.
· Very strong interpersonal skills and the ability to build relationships.
· Demonstrated proactive approaches to problem-solving with strong decision-making capability.
· Pleasant and upbeat attitude, strong work ethic, and a desire to be helpful.
· Strong written and verbal communication skills.
· Outstanding organizational skills and ability to prioritize with minimal supervision and adapt to quickly changing needs.
· Rigorously detail-oriented and committed to accuracy.
· Excellent technical skills in Microsoft Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat.

· Willingness and ability to work long and/or fluctuating hours as requested.
· Ability to lift up to 25 pounds.
Job Type: Full-time
Pay: $30.00 - $40.00 per hour
