As an Administrative Assistant II you will have the opportunity to provide general administrative support and work alongside the Finance, Facilities and IT departments within PPPSW.

This exciting opportunity will be responsible for supporting all administrative components related to accounts payable, ordering/receiving, filing, mail delivery, database maintenance and other ad hoc projects.

**This position will report in-person, 5 days a week at our Administrative office in San Diego, CA**


In this role, you'll get to:

  • Work alongside IT, Finance and Facilities - 30% IT, 10% Facilities, 70% Accounting

  • Collaborate with the front desk, handle all finance, facilities and IT department related incoming and outgoing courier mail; pick up mail, open, sort, scan and distribute courier mail as needed; processes outgoing mail through the postage machine and ensures the proper amount of postage is affixed

  • Prepare deposit batches for all checks received by mail. Copy and tally all income checks and verify control totals. Take any checks that can not be electronic deposited to the bank for deposit

  • Assist the Controller with special projects, which include in establishing a centralized electronic document database for statements, reports, etc. using SharePoint and working with the project group as needed to migrate all electronic documents to SharePoint

  • Coordinates the sending and retrieval of files to long term storage

  • Assist with Purchasing department projects and fill in for Purchasing staff as needed

  • Assist with Accounts Payable projects and fill in for Accounts Payable staff as needed

  • Partner with the IT group to assist with ordering, receiving, coding and processing invoices and credit card charges

  • Balance and reconcile to the general ledger general ledger accounts as assigned

  • Place and receive orders for break room, IT, facilities and finance department supplies and equipment when supplies are low

  • Assist the Controller in organizing and coordinating the monthly and quarterly Accounting and Finance Team meetings and Roundups

  • Responsibly perform errands on behalf of the team. Examples could include running FedEx to drop off sites or picking up lunch for a team meeting

  • Assist the CFO and Directors with administrative tasks, which may include filing, maintaining databases, scheduling, coordinating meetings and processing paperwork (i.e., contract management processing)

What we're looking for:

  • High School Diploma or equivalent

  • 1+ years of administrative experience

  • Ability to work independently with excellent attention to detail

  • Must have excellent communication and organizational skills

  • Must be able to multitask, prioritize multiple projects and work well under pressure to meet deadlines

  • Must have strong database management experience

  • Must be able to ensure confidentiality and patient/employee privacy

  • Must be a proactive problem solver with superior follow through skills

  • Must be flexible and have excellent teamwork skills to work well with others in a fast-paced environment

Preferred Qualifications:

  • Experience in bookkeeping, financial or related experience preferred

The hiring rate for this position is: $43,600 - $49,000/annually
