The Position:
San Diego Miramar College, a student-ready college, invites all qualified candidates to apply for the position of Administrative Assistant IV. Hours are Monday - Friday from 8:00 AM to 5:00 PM. Selected candidate must be willing to adjust work days/hours based on the department's needs. The position will serve as an administrative assistant to the Dean of Enrollment Services, which encompasses the following areas: Outreach, Promise, Dual Enrollment, Admissions & Records, Veterans, Evaluations, International Students, Financial Aid, Scholarships, and Dreamers.

Major Duties include:
  • Relieve the manager of a variety of clerical and routine technical and administrative duties.
  • Receive visitors, schedule appointments, screen phone calls, and distribute mail. Assist faculty, staff, and students with administrative problems.
  • Arrange, update, modify and schedule meetings and other conferences. Record, type, and distribute meeting notes and other information, including material of a confidential nature.
  • Review reports and maintain records of expenditures, time cards, assist in preparing budget estimates and monitor budgets of assigned area. Collect and compile statistical and financial data.
  • Establish and maintain complex, interrelated filing systems. Review and proof documents, records, and forms for accuracy and completeness.
  • Prepare a variety of correspondence, agendas, reports, and other materials using word processing, spreadsheet, and database applications.
  • Manage routine office tasks, such as Dean/staff calendars, order and maintain office supplies, submit requisitions for supplies and travel, and perform related duties as assigned.
  • Train and provide work direction and guidance to clerical and student staff.
  • Establish and maintain positive staff and public relations. Serve as liaison between the manager and staff, the public, industry, and other district or campus offices.

  • Computer applications, including word processing, spreadsheets, and databases.
  • District organization, operations, policies, and objectives. Applicable sections of State Education Codes and Federal laws.
  • English usage, grammar, spelling, punctuation, and vocabulary.
  • Interpersonal skills using tact, diplomacy, and courtesy.
  • Modern office practices, procedures, and equipment, including computer hardware and software.
  • Record-keeping techniques.
  • Operational use in different communication modalities.
  • Student data systems and/or Customer Relations Management tools.

Skills and Abilities:
  • Communicate effectively both orally and in writing. Compose correspondence and other documents independently.
  • Establish and maintain effective working relationships with others.
  • Access and extract information from districts computer information system for evaluation and analytical use.
  • Perform responsible and complex administrative support and clerical work with speed and accuracy.
  • Train and provide work direction to others.
  • Use computer applications, including word processing, spreadsheets, and databases; as well as full application of MS Office 365 and Google suite tools.
  • Plan and organize work, with independence and little direction.
  • Evaluate sensitive situations and adopt an appropriate course of action.

Training and Experience:
  • Any combination of training and experience equivalent to: graduation from high school and three years of increasingly responsible administrative support and clerical experience.
  • One year of experience in an educational setting is desirable.



Licenses:

Pay Information:
Range 21 ($3,679.52- $5,873.35) per month based on the current Classified salary schedule. New employees will begin on Step A ($3,679.52), Step B ($3,863.50) with 18 months of verified, paid, full-time equivalent related job experience or up to Step C ($4,056.67) with 36 months of verified, paid, full-time equivalent related job experience. For purposes of salary placement, 7.5 semester units (or equivalent quarter units) of directly related coursework from a regularly accredited institution will be equivalent to one (1) year of job experience. Promoted or transferred employees will be placed as specified in the CBA. This position is FLSA Non-exempt (may accrue overtime). Excellent Benefits are provided to all Contract employees with assignments greater than, or equal to, 50% (0.50 FTE) and all eligible dependents. A temporary probationary period will apply to the employee entering this assignment.
