We are seeking an Administrative professional to help keep our rapidly growing organization running smooth and efficiently day to day. You would be the first face and voice of a behavioral health agency office answering phones, greeting occasional participants and visitors, and providing administrative support through data entry in an electronic health record for the Jail Diversion program. Other duties include record keeping, ordering supplies, and handling mail.

Olympic Health & Recovery Services (OHRS) is led by a governing board made up of 2 Thurston County Commissioners and 1 Mason County Commissioner. We want to add to our team someone who uses their administrative skills to embody our mission of providing access to an effective, reliable safety net of behavioral health crisis and recovery support services throughout our region. Our office in Shelton serves our Mason County Jail Diversion programs, to include, but not limited to, Law Enforcement Assisted Diversion (LEAD), Recovery Navigator Program (RNP), and Rural Counties Opioid Response Program (RCORP).

Salary Range: $25.72 - $32.59 per hour, negotiable based on experience, education, and parity within the organization.

The schedule for this position is primarily a Monday-Friday day shift.

MAJOR RESPONSIBIITIES:

  • Serves as the primary customer support representative, providing prompt and responsive assistance to callers regarding Jail Diversion services.
  • Responsible for supporting various program data entry requirements in electronic health records system and excel, compiling and maintaining records and reports as assigned.
  • Maintains centralized electronic and hard copy filing systems. Maintains a variety of databases to include data entry, making changes to the data base, and using the database to track and report on information.
  • Provides general administrative assistance to include greeting visitors, answering phones, scheduling and calendaring meetings, preparing and maintaining files, preparing correspondence, maintaining and purchasing supplies.
  • May be appointed as credit card custodian, checking in and out the credit card and ensuring appropriate documentation and receipts are submitted in a timely and accurate manner.
  • May act as fleet vehicle coordinator, checking in and out fleet vehicles and ensuring Fleetio fleet management application is being utilized.
  • Operates all general office equipment, handles office mail, and orders office supplies.
  • Composes letters and memos. May coordinate agenda items, create documents and brochures, presentation items, or various other products.
  • Assists in the development of office policies and procedures.
  • Performs other duties as assigned.
  • High School Diploma or GED.
  • 2 years general office experience.
  • Experience working in behavioral health field, preferred.
  • Valid Washington State Driver’s License and satisfactory drivers record required.

SKILLS AND ABILITIES:

  • Knowledge of basic telephone/reception techniques.
  • Ability to utilize a personal computer and related software to perform routine word processing or data entry.
  • Experience working with Microsoft Excel and Microsoft Outlook.
  • Experience working with Electronic Health Record systems, preferred.
  • Experience working in the behavioral health field, preferred.
  • Demonstrated teamwork ability, including willingness to learn new programs and processes.
  • Ability to professionally and efficiently present and convey the business of TMBH-ASO/OHRS both in person and over the phone as well as in writing.
  • Skill with listening, reading and communicating information that is sensitive in nature and protected by various legal authorities and privacy laws.
  • Knowledge of health and safety guidelines.
  • Knowledge of HIPAA privacy and security guidelines.
  • Ability to maintain a professional, collegial manner in a fast-paced environment with competing demands with many interactions with providers, outside and related agencies and TMBH-ASO/OHRS staff.

WORKING CONDITIONS:

  • Work is generally performed indoors and in an office environment. May be required to attend off site meetings and deliver items and/or operate fleet vehicles.
  • On site, regular, predictable attendance is required.
  • Occasional need to work extended or evening hours.
  • Minimal physical exertion is required. May be required to lift or move boxes/equipment weighing up to 25 lbs.
