The Administrative Assistant, Los Angeles Refinery (Carson) provides administrative support to the Carson Refinery team.

Responsibilities May Include:
Communicates professionalism in all activities and in the hosting of guests/visitors. Provides courteous and prompt follow-up to all office calls and inquiries. Maintains an organized office.

Responsible for managing the appointment calendar of the associated Carson Refinery including: ensuring conference rooms and meeting amenities are available. Escorts guests to and from office locations.

Provides administrative support functions to the Carson Refinery. Examples include: Maintaining the Operations Building, Maintaining Office Compliance with Documents Records Management Policy, publishing annual budget books, keeping department metric scorecards up to date, keeping general refinery information updated such as organizational charts.

Responsible for managing business travel. Responsible for managing group travel arrangements for some subsets of employees.

Responsible for the timely and accurate issuance of requested administrative reports – such as the monthly Manpower Report and other key department or division reports.

Maintains timekeeping and vacation schedules for as requested.

Works with and shares in duties with other Administrative Assistants to ensure continuity of work. This includes participating with others to ensure distribution of mail and serving as backup for those assigned as backup in their absence.

Maintains expertise on office equipment and maintains necessary office supplies.

Performs occasional SAP requisition support.

Takes the leadership role/participates in working with all administrative peers to achieve consistency in policies and procedures.

Participates on various committees for annual company functions for employees.

Responsible for the personal safety/health and for performing quality work in a safe and environmentally conscientious manner. Performs monthly safety audit focuses on office safety.

Responsible for complying with Company policies and procedures, established standards and governmental regulations (federal, state and local).

Organizes Carson Refinery/LAR events as requested.

Other special topics as directed by immediate supervisor.

Required Qualifications:
Legally authorized to work in the United States without restrictions

18 years of age or older

High school diploma or GED equivalent

Intermediate or greater proficiency with Word, Excel, PowerPoint and SAP Concur (or similar expense management tool)

1 or more year(s) of experience in administrative support, including calendar management and travel arrangements

Preferred Qualifications:
Ability to prioritize and work with very little supervision

Ability to maintain confidentiality

Proficient (perform the skills with limited assistance) with SAP S4, Livelink/EDMS and timekeeping

5 or more years of experience in administrative support of senior managers in manufacturing

Expertise in any other electronic systems that service a refinery

Associate's or Bachelor’s degree in related work

Ability to produce quality and error-free work

Team player -- works for the good of entire organization and maintains effective relationships with all levels in the organization

The Los Angeles Refinery consists of two linked facilities located five miles apart in Carson and Wilmington, California. The Carson facility processes crude oil, and the Wilmington facility upgrades the intermediate products to finished products. The facilities include crude distillation, naphtha reforming, fluid catalytic cracking, alkylation, hydrocracking and delayed coking units. The refinery processes mainly heavy, high-sulfur crude oil. It receives domestic crude oil by pipeline from California, Canadian crude via rail, and both foreign and domestic crude oil by tanker through a third-party terminal in the Port of Long Beach. The refinery produces a high percentage of transportation fuels. The refinery produces CARB-grade gasoline. Other products include petroleum coke. Refined products are distributed to California, Nevada and Arizona by pipeline and truck.

Compensation

The pay range for this role is$62,100 – $78,200 depending on a candidate's relevant work experience and education.
