Administrative Assistant – Port Construction Services Job at Port of Seattle
Some of what you'll be doing:
As an Administrative Assistant for our Port Construction Services (PCS) department, you will provide support to our Field Operations and Construction Managers.
- You will be a Corporate Purchase Card (P-Card) User for purchases that routinely include non-office supply materials for multiple projects (e.g., construction materials); requires multiple line entries and knowledge of project needs; interacts with approved vendors to resolve discrepancies, ensures goods and services are received as purchased, coordinates return of purchased goods when necessary, and reconciles receipts and invoices in compliance with Port and Contract requirements.
- You will provide complex calendar management that includes scheduling meetings, tracking crew work, trainings, projects, programs, for Managers and crew.
- You will provide Time Administration for the various craft crews including entering hours and adjusting time according to daily reports from Supervisors.
- You will accurately be processing employees’ time in accordance with Payroll guidelines and timelines, resolve timecard discrepancies, and ensure reported time accurately reflects provisions of the represented employees collective bargaining agreement.
- You will be responsible for onboarding task including providing new hires the onboarding requirements, review of new hires paperwork for accurate completion of forms, examine the documents required for Employment Eligibility Verification and submit completed documents to Human Resources. Ordering electronic equipment such as phone and computer, etc. for new hires as applicable for their position.
- You will be responsible for front desk duties for PCS Equipment Yard, including assisting with deliveries and outside visitors with directions and assisting PCS staff with office computers, electronics, questions and trainings
- You will be an authorized signer for new or renewal applications for Port and Customs (CBP) badges and assist staff obtaining the correct badges. You will also assist with TWIC badges and request checks for payment.
- You will be the Learning Management System (LMS) Registrar that includes recording and editing learning items for internal learning events, managing scheduled offerings and registration, and audit to make sure all required safety training is completed.
- You will prepare and submit Disposition form for equipment and tools to Department Director for approval to surplus or discard, maintain and update tools and various Inventories.
- You will manage fuel card sign outs and track vehicle inventory and coordinate vehicle and equipment repairs with Auto Shop.
- You will coordinate and set up First Aid classes and Lead and Silica Awareness, Respirator Fit tests, as well as monitor and send crew off site for annual hearing tests and other classes as determined.
Who you are:
Two years of experience may be substituted for one year of education:
- Experienced – You have four (4) years progressive administrative experience.
- Educated –You possess a High School Diploma or equivalent and one (1) year of college coursework.

What else you need to know
:
- Work Schedule – Your normal work schedule will be Monday – Friday, 6:00 a.m. to 3:00 p.m. (40 hours per week). Slightly more flexible start and end times may be available in this role.
- Work Environment – You will primarily work in a Field office environment.
- Washington State Residency Requirement – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.
- COVID-19 Vaccination Requirement – Effective, November 15, 2021, the Port of Seattle will require that at the time of hire, and as a condition of employment, the successful candidate will be able to provide proof of their full COVID-19 vaccination status, as part of the hiring process. This is a condition of employment for all positions at the Port of Seattle. People are considered fully vaccinated two weeks after their second dose in a two-dose series or two weeks after a single-dose vaccine. Prior to employment, candidates may make requests for a reasonable accommodation based on a medical disability or for sincerely held religious beliefs. - Overtime Eligible – You are eligible for overtime pay in this role.
- Security Requirements – As the successful candidate, you must pass a Transportation Security Administration (TSA) background check as well as a criminal history background check with the Federal Bureau of Investigation (FBI). Your employment will be contingent upon obtaining a Port of Seattle ID badge upon clearance.
