Administrative Assistant Supporting the US Attorney's Office Job at FSA Federal
- Receives visitors and telephone callers for the USA, FAUSA, and EAUSA. Furnishes requested information concerning pending and closed matters, functions, and general procedures of the office. Determines which matters should be referred to the USA, FAUSA, and EAUSA, whether the immediacy of the call warrants interruption of the U.S. Attorney or revision of previously established plans and priorities.
- Establishes and maintains a variety of files for the USA, FAUSA, and EAUSA. Establishes current working files and maintains working file indices with proper cross indices for reference. Separates, screens, selects, assembles, and organizes files and records materials
- Composes or produces a wide variety of written documents that require a good working knowledge of administrative procedures and terminology. Reviews all outgoing correspondence, documents, and reports prepared for the USA's, FAUSA's, and EAUSA's signature. Utilize varied and advanced functions in one or more types of office automation software for the USA, FAUSA, and EAUSA. For example, assignments may include integrating output from different software types, e.g., tables produced by database applications and charts and graphs produced by electronic spreadsheet applications, into word processing or desktop publishing text. May integrate graphic output into text documents and adjust style and pitch of type to design and layout individual pages to fit large and complex publications. Manipulates output from advanced functions of non-text oriented software types to meet user requirements. Ensures proper format, spelling, grammar, punctuation, etc. in all documents.
- Provide Clerical, Data Analyst, and Records Examiner / Analyst supervision and review
- Directs and supervises the work of contractor staff, particularly on major support efforts, such as large research projects or major office support
- Monitors work and reports on progress; responsible for ensuring that work meets contract and government requirements and is delivered on time
- Troubleshoots and performs quality control spot-checks. Must be able to formulate administrative and technical procedures for getting the work done
- Performs complex technical and factual research
- Designs and develops systems and procedures for tracking, controlling, and managing case files, exhibits, and other case specific materials
- Coordinates with other Contractor support components in order to accomplish work.
- Reports to a Director or Manager; may also have significant contact with Government Officials and/or clients
- Other duties as assigned
- Four year undergraduate degree or HS Diploman/GED and additional 2 years experience
- Minimum three years of experience in a professional environment, preferably a legal environment
- Provide word processing and data entry/retrieval
- Ability to review and analyze data and information from multiple sources
- Ability to establish case/project files
- Ability to enter and retrieve data from databases
- Ability to prepare and format management reports
- Ability to manipulate, transfer, compute and print information
- Ability to prepare and correct reports and correspondence using word processing software
- Microsoft Office Proficient and hands-on familiarity with variety of computer applications, including word processing, database, spreadsheet, and telecommunications
- Schedule appointments
- Ability to obtain additional information from other agencies/organizations
- Ability to maintain internal status information on the disposition of designated information, files, and assets
- Ability to assure information is accurate and perform analytical computations necessary to process data
- Provide administrative information and assistance concerning case or file to other agencies or organizations
- Sound working knowledge of legal system, legal research procedures and sources of information
- Excellent written and oral communication skills, thorough knowledge of automated research tools
- Ability to consistently deliver the highest quality of work under extreme pressure
- Equivalent combination of relevant education and experience may be substituted as appropriate
