Note: Work schedule for this position will be 8:00 a.m. - 5:00 p.m. Monday through Friday with flexibility to meet departmental needs. Position has the opportunity for both on campus and remote work. Applicant selected for hire will be required to acquire working knowledge of and the ability to utilize Banner, via training provided subsequent to hire.

Position is responsible for efficiently managing the front office workflow, developing operational procedures and accompanying manuals based on student and staff needs. Provide excellent customer service while communicating with students and employer partners in the delivery of information related to academic, career and transfer information. Create, implement, and maintain departmental operational procedures including front desk training manual, staffing schedules, student intake procedures, tracking student visits, maintaining database of student interventions, responsible for departmental purchases and tracking departmental budget utilization. Position will serve as designated purchasing authority for department, create and maintain effective correspondence and communications as part of the Career Services & Academic Advising department, including the management of student communications, emails, marketing materials, and chatbot communications. Responsible for the hiring, training, and supervision of front desk student work-study staff. Oversee document processing, imaging, and indexing. Run reports to analyze budget utilization, tracking and ordering office supplies, forms, publications, and special purchases within the budget. Responsible for the hiring, training, and supervision of front desk student work-study staff. Develop training opportunities for front desk student work-study staff that ensures operational cohesion and promotes positive customer experiences. Facilitate training as necessary. Create correspondence, documents, spreadsheets and forms using a variety of computer software such as Microsoft Office 365 to include Outlook, Word, Excel, OneDrive, Teams, and input information into the Banner student information system.
Substitutions: College, university, or non-correspondence business school course work from an accredited institution in Business or related field may substitute for the clerical experience as listed above on a year for year basis. A copy of your transcript verifying the required credits must be submitted at the time of applying in order to be considered.

Preferred Qualifications: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following: Experience involving a wide range of clerical responsibilities. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Attention to detail (ability to check for typographical, grammatical and spelling errors, etc.). Ability to handle multiple tasks simultaneously while meeting targeted deadlines. Experience with problem solving processes. Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Prior work experience at a community college or other academic environment. Ability to deal with a diverse population with discretion and tact.
