RESPONSIBILITIES:
- Support the VP of Clinic Operations and Physician Recruitment in all administrative functions as needed, including scheduling meetings and appointments, responding to email and physical mail.
- Appropriately handle patient/visitors/staff concerns, resolving problems and directing them to the appropriate individuals.
- Maintain all manual files, electronic files, and related documentation, keeping them current.
- Order, process, and maintain all requisitions of supplies, invoices and reimbursements in relation to physician practices that are requested and approved by the VP and submit to Accounting for processing as appropriate.
- Assist in contract and other legal document development and maintenance relating to Physicians, APP, contracted services Providers, and building leases or purchases relating to physician practices.
- Assist in development and publication of policies and procedures relating to Physicians and APP’s, Physician Practices, or other areas as requested by the Vice President.
- Assist in maintaining the strategic and long-term Physician Staffing Plan for Northern Regional Hospital.
- Oversee and appropriately distribute recruitment materials utilized in communicating with Physician and APP candidates.
- Maintain constant source of information relating to new Physician contacts and database of potential candidates, taking appropriate and timely action to recruit providers.
- Select, coordinate, and manage retained or contingency recruitment agencies and other resources to generate potential candidates for approved positions.
- Source and research all candidates using social media, direct email, personal networks, outside agencies and other creative solutions to find the candidates with the best fit to the goals and vision of Northern Regional Hospital.
- Maintain open communication with Risk Management, Medical Staff Coordinator, Payor Enrollment Coordinator, and Manager of Physician Practice to ensure timely credentialing of newly recruited Physicians. May also work with the Administrative Specialist for the Hospitalists to coordinate information and onboarding, as needed.
- Arrange and confirm site visit dates and appointments for candidates with the schedules for NRH attendees to the site visits, including but not limited to the President and CEO, the VP, the providers of the practice hosting the interview, the Medical Staff Officer, the Practice Manager or Director, the Director of Surgical Services (if a surgical candidate), and others as appropriate.
- Coordinate provider interview or meeting meals with internal or external food services as needed.
- Coordinate the logistics for personalized site visits for providers and their families for hotel accommodations, interviews, dinners with NRH providers and practice management, realtor tours, and any other special events as needed.
- Coordinate orientation and onboarding activities, working with Marketing for new Physicians and APP’s upon their arrival in the community.
- Communicate with providers and maintain all necessary checklists to ensure all proper documentation and information is acquired for successful onboarding. Coordinate with the Medical Staff Coordinator to make sure all information is obtained and received in a timely manner. Work with the Administrative Specialist for the Hospitalists for this information, as needed.
- Maintain an Onboarding program for new Physicians and APP. Work with the Director of Advanced Practice for enrollment in Orientation Program for all newly graduated APP.
- Coordinate and send notifications for any special meetings, receptions, and educational sessions for new providers.
- Build relationships with newly recruited providers to help them adjust professionally and personally to their new environment. Send timed check-in emails in first two years of employment, as well as annual birthday greetings.
- Maintain regular contact with Physicians, APP, and their spouses to keep aware of how they are adjusting and providing the resources needed to reduce the potential issues that may arise in relocation and acclamation to a new environment.
- Plan and implement actions to help the Physician or APP and their families transition to the new community.
- Work with the Administrative Specialist for the Senior Vice President of Patient Care Services and the CFO for submission and maintenance of physician and advanced practice provider contracts, physician practice service contracts, clinic building leases, and other legal documents to be stored and maintained in the electronic contract management system.
- Schedule any special payments noted in the provider employment agreements and submit at appropriates times for payment.
- Acquire and process the incentive, on-call, additional worked hours (if noted in employment agreements), or CME reimbursement compensation for approvals in a timely manner.
- Arrange any provider special events planning and production of the event and coordinate any assistance with planning.
- Assist in development of presentations and promotional material relating to the outpatient practices and clinics.
- Assist the Practice Managers and Directors as needed in relation to provider recruitment or retention.
- Be available and flexible for any projects and assignments as requested by the Vice President of Clinic Operations and Physician Recruitment.
REQUIRED QUALIFICATIONS:
- Ability to read, write and speak English clearly and fluently.
- Minimum of three years of secretarial experience.
- Types minimum of 60 correct words per minute, Alpha 87 correct keystrokes per minute, Numeric 150 correct keystrokes per minute.
- Word processing and spreadsheet experience using Adobe, Microsoft Office (Outlook, Word, Excel, Publisher, and PowerPoint), and other applications or products as needed.
- Experience with using and/or implementing proprietary software.
- Must have strong communication skills, both written and oral.
- Must be able to learn quickly and be detail oriented.
- Must have professional, friendly, and welcoming attitude with good social skills.
- Must have a strong desire to learn, embrace challenge and change for the purpose of improving individual performance and that of the organization.
- Must have a vested interest in seeing the organization grow, prosper, and make substantive contributions to the community.
PREFERRED QUALIFICATIONS:
- Healthcare secretarial experience
- Bachelors or Associates degree
- Legal documents and contracts experience
- Medical terminology
- Strong writing and creativity skills
NATURE OF WORK:
Supports and assists the Vice President Clinic Operations and Physician Recruitment (VP) in all phases of the Physician Recruitment and Retention Program for Physicians and Advanced Practice Providers, ensuring compliance with all recruitment and retention policies. Acts as the primary contact between Northern Regional Hospital and recruiting agencies as well as candidate providers. With experience, he or she will be responsible for duties such as coordinating the annual Physician Staffing and Recruitment Plan to include, the sourcing and screening of candidates by reviewing CV’s or resumes, conducting interviews, and ensuring the medical organization is paired with candidates who will meet and fulfill the needs of the organization.
