FXpedited, a family owned, full-service carrier company with headquarters in New Castle, PA is seeking an experienced Administrative Support Person/Dispatcher.

This position is located in our New Castle, PA Corporate Offices.

Administrative Support/Dispatcher

Position Summary: The Administrative Support/Dispatcher will book loads with various freight brokers and shippers to design driver schedules. They will assign pickups and deliveries by the most cost effective means available. They may arrange for local/regional transport and coordinate drivers and schedules for multiple-day trucking in long-haul rigs. The Truck Dispatcher also maintains routine contact with drivers to ensure they are supported and questions and concerns are taken care of timely. This position is on-site at the New Castle, PA Corporate Headquarters.

The Administrative Support/Dispatcher is an FLSA hourly non-exempt position:

Wage: $18.50 per hour.

Benefits are as follows:

Paid Sick time is offered upon FT permanent hire date and allocated per the Quarter in which that date falls.

Essential Functions of the Administrative Support/Dispatcher: While not all-inclusive, following is a list of primary and general duties. In addition to these listed duties, this position shall also perform other tasks as assigned, shall abide by all provisions of the Employee Manual, and shall participate in all company initiatives and projects as assigned by the supervisor.


Solicit truck service to brokers to book loads for drivers based on their availability, DOT reset hours and general driver skill level.


Answer calls from Drivers for any challenges, questions or concerns.


Communicate with brokers through online software, phone calls and e-mail.


Utilizing ERP and other software and systems to update customer/vendor/driver information.


Utilizing appropriate systems, record and track freight orders.


Ensure truck trailers are filled by consolidating the freight orders, to make the trip as cost-efficient as possible.


Using computers, mobile devices, satellite tracking systems and global positioning system (GPS) technology, the LC monitors the progress of trucks during their delivery routes.


The LC troubleshoots problems that may arise during the route, such as truck breakdowns, traffic or weather issues, or changes in delivery dates or locations.


The LC communicates with brokers throughout the pick up and delivery of booked loads.

Position Requirements for Administrative Support/Dispatcher


The job requires strong computer, communication and organizational skills.


Prior dispatch, customer service, and freight brokerage experience in the transportation industry is preferred.


The individual in this role will be able to problem solve very quickly.


The individual in this role will routinely speak with carrier/trucking company personnel. This individual must be willing to stay calm under pressure.


This individual will be able to analyze multiple factors to determine if a load is feasible and profitable.


Load Coordinators will be part of an after hours, on call rotation.


Load Coordinators will work well and often with other load coordinators to ensure all drivers/customers are offered excellent support.


Individuals in this role must be proactive rather than reactive in terms of load coordination.


Individuals in this role must be able to quickly act when there is a challenge with a load, a vendor or a driver.


Must have strong computer skills and multi-screen and multi-tasking skills (Gsuite or Microsoft Office product experience is preferred)


Experience using Transportation Management Systems is required.

Work Environment for the Administrative Support/Dispatcher:
This job operates in an office environment. This role routinely uses standard office equipment such as laptop computers, smartphones, office phones and other standard office equipment. This role involves ongoing communication with internal employees, drivers, logistics and support personnel and external contacts--via phone, email and any other professional means of communication necessary to complete the process.

Physical Demands for the Administrative Support/Dispatcher

The person in this role must be able to remain in a stationary position 75% of the time and must move about occasionally inside the office to access file cabinets, office machinery and to have routine contact with individuals on the 2nd floor of the building. The person in this role must frequently climb stairs to the second floor to interact with employees, obtain information, attend meetings-or as needed to complete the essential job duties.

Position Type/Expected Hours of Work for the Administrative Support/Dispatcher

This is a Full Time position working 40 hours a week. Hours of work are typically an 8 hour day- in addition to a 1 hour unpaid lunch. This person in this role will typically work an 8am to 5pm schedule, except during high volume periods or when rotating the on call phone --when evening and weekend work will be required. This position at some times during the year will require overtime, and the dispatcher will also receive calls/texts/emails after hours regarding emergency issues. Calls taken after hours should be added to weekly hours worked.

Travel

This position requires infrequent travel, less than 25%. Travel may be mixed -- local and outside the local area and overnight. Rarely would travel be international, but being legally able to cross the Canadian border is required.

Education and Experience

High School Degree or equivalent is required.
Prior dispatch experience is a plus.
