Position Summary:

The Office of Admission is a fast-paced, high-energy environment that strives to meet the demands of a dynamic, growing institution. The Admissions Processor is a critical member of the Admissions staff and reports directly to the Director of Admissions. Our team members must be flexible, positive and effectively adapt to rapid change.

The person in this role supports the operational efforts of the admissions office by coordinating daily counselor and operational activities using CRM system, Salesforce and student information system, Jenzabar. The Admissions Processor also assists as the processor of counselor conversion and enrollment activities, document entry and supports overall admissions efforts to meet new student enrollment goals.

Primary Responsibilities/Essential Job Functions:*

  • Assist the Director, Assistant Director, Systems Coordinator and processing team to ensure all daily admissions operations are timely and running smoothly.
  • Perform general administrative office tasks including answering phones, returning emails, and other customer service functions.
  • Process inquiries, applications and required documentation to complete student admission files in a detailed manner using university data entry policies and procedures.
  • Perform student verification processes to ensure all necessary documentation is official and complete for counselor review.
  • Coordinate and execute file transfers to other departments when necessary, including transfer evaluations, financial aid documentation and student verification.
  • Responsible for continuous flow of admissions files, accuracy of student file data and adherence to enrollment policies and procedures.
  • Work collaboratively with other processors, systems coordinators, counselors and other admission team members to ensure the most effective and efficient procedures are executed.
  • Produce notification letters for acceptances, deferrals and denials.
  • Create weekly enrollment reports for student tracking purposes.
  • Support the communication flow to prospective students including proper file requirements are notated in system, assist with mass-mailing projects and other departmental needs.
  • Serve as backup to other admissions team members when needed.
  • Assist with the execution of admissions related events.
  • Establish and maintain contacts, processes and procedures with the appropriate departments. (i.e., Business Office, Registrar, Residential Life, and Financial Aid).
  • Additional assignments and functions associated with recruitment may include, but are not limited to, e-communications, scholarship application processes, or ordering of materials and supplies, as needed.

Minimum Education & Experience Requirements:*

  • Bachelor’s degree.
  • 1-2 years of work experience, preferably in college enrollment services office or in a sales or customer service-related environment.
  • Computer literate, including database, word processing, spreadsheet, and Internet applications. Use of enrollment or system technology to support students or customers is preferred.
  • Demonstrated skills in communications, interpersonal relations, and problem solving.

Work Environment/Physical Requirements of the Job: *This position is located within a general office environment and at high schools or throughout the community. The employee must have the ability to walk between buildings on campus or to represent the institution, lift up to thirty pounds, and be able to work sitting down or driving for long periods of time.
