Alumni Welcome Center Manager

Reports to: Associate Director of Marketing and Alumni Relations

Location: On-site

Position Type: Full-time, 12-months

Compensation: Commensurate with experience

Salary Range: $65,000 – $70,000

Position Overview

Menlo College’s first Alumni Welcome Center Manager will be responsible for the day-to-day operations of the alumni office, which includes a campus store. The alumni office is the hub for alumni communications and events at the College and is part of the institutional Advancement team. The campus store carries branded clothing and merchandise both online and on site. This position reports to the Associate Director of Marketing and Alumni Relations and manages several part-time student employees.

Typical Responsibilities

Advancement Team

● Provide leadership role in redesigning the look and functionality of office space.

● Assist with planning and execution for boutique fundraising and alumni reunion events.

● Respond to inquiries and requests from walk-ins, via email and over the phone.

● Log relevant information in CRM database

● Maintain stock and inventory for branded promotional items and marketing collateral.

Alumni Welcome Center

Marketing, Communications, and Promotions

● Establish a customer journey lifecycle and create customer personas to enhance marketing strategies.

● Present seasonal goals, campaigns, and communications which dovetail with marketing and communications goals.

● Establish and maintain a Center calendar including marketing, communications, promotions, and inventory purchase cycles.

● Prepare and implement a plan of execution to market the Center and store.

● Manage, promote, and host alumni events in collaboration with the Advancement team.

Administrative

● Hire, train, and manage student employees and assign daily tasks based on current needs.

● Maintain and update the Campus Store Guidebook with new and updated operational processes.

● Lead and design annual surveys to campus and integrate feedback from responses into an overall strategy.

● Manage vendor relationships and operational logistics, including tech support and maintenance.

● Organize all store operations from budgeting, purchasing, stock, and inventory to sales, reconciliation, reporting, and forecasting.

Desired Education, Skills, and Experience

● Bachelor’s degree in marketing, business, or related field.

● 3+ years of hands-on retail management and operations experience.

● 1+ years office or project management at a small business or non-profit organization.

● Prior experience with data entry and report preparation.

● Extraordinary attention to detail.

● Excellent written and verbal communication skills.

● Problem-solving and conflict resolution skills.

● Intermediate knowledge of Google Workspace.

● Demonstrated experience working with volunteers and temporary workers.

● Strong interior design or graphic design skills preferred.

● Previous experience in higher education or at a 501(c)3 a plus.

Physical Requirements

Lifting up to 40lbs, bending, and pulling equipment
