Job Overview
This critical position is responsible for providing various administrative functions for the Glens Falls office operations, support to Project Managers and all staff including, developing staff schedules, project budgets, quality assurance/quality control, invoice review/processing and term contract management. The position also entails assisting Project Managers with proposal writing and limited technical functions. This position will ensure efficient project delivery.

Flexibility and adaptability are key as this position is diversified and has a variety of components from clerical/administrative to more complex office administration and document production support. The individual will work closely with planners, engineers and environmental staff to support a wide variety of technical project activities.

We anticipate the candidate will bring talents and skills that we will seek to develop and leverage. Incumbents have possessed skills such as graphic design, technical writing, operations support, GIS (and others) and leveraged these skills to advance within the organization. Flexibility and adaptability is key as this position is diversified and has a variety of components from clerical/administrative to more complex office administration and project management support.
Strong organizational skills, detail orientation, self-motivated to take on new tasks, and a strong work ethic are required for success in this position

We have flexibility in our work schedule and will entertain individuals seeking a part time (24-32 hour) schedule.

Responsibilities:
Project Support:
  • Established Project Set up In Deltek (project management platform)
  • Document production using Word, InDesign or other graphic communications
  • Assist with tracking of billing/invoices
  • Plotting/scanning/modifying plan sets and submissions
  • Assist in NYS grant administration and reporting
Office Administration:
  • Handle front office activity
  • Coordination of Meetings and Conference Room Scheduling (includes food ordering, etc)
  • File Management/Archiving/scanning
  • Mail management (outgoing and incoming, packages, deliveries)
  • Coordinate with IT on issues, services calls, order related supplies, etc
  • Order office supplies
  • Copies, faxing, scanning as requested
  • Health and Safety: Primary Emergency Coordinator contact
  • Assist HR with completion of new hire paperwork and orientation, if HR is unavailable
  • Qualifications
  • Solid communications skills with the ability to effectively interact with internal and external “customers”, at all levels.
  • Demonstrated ability to work in a team oriented and fast-paced environment
  • Proficiency with Microsoft Office products required and Adobe Creative Suite desired
