Job Summary

The Assistant Site Manager (ASM) supports the overall mission of the U.S. Citizenship and Immigration Services (USCIS) by facilitating the operations of the Records contract staff at the Potomac Center Operations Support Services (PCOSS) contract.

Essential Job Functions

  • Responsible for the performance timeliness and quality of designated functional areas of Contract Operation and the submission of deliverables as assigned.
  • Oversees mail and file operations processes to ensure adherence to performance requirements of the Contract.
  • Ensures Contract Supervisors and Clerks in designated functional areas are trained and proficient in work assignments.
  • Plans and coordinates with other Contract Managers, Supervisors, Trainers, and Quality Control personnel.
  • Provides daily direction, guidance, and assistance to a team of Contract Supervisors in assigned functional areas; in coordination from Site Manager, establishes priorities and allocates resources as needed to meet goals established by Contract Management and Customer.
  • Prepares and submits timely and accurate reports or other ad hoc deliverables to Contract Management and/or Customer. Deliverables may include work instructions, supporting documents to work instructions, production reports, quality responses and recommendations, Significant Incident Reports, employee performance documentation and evaluations, and other documents as necessary or requested.
  • Maintains close coordination with Contract Management on operational issues.

Additional Job Responsibilities

  • Conducts quality process audits for designated functional areas.
  • Drives continuous improvement in designated function areas.
  • Makes and implements continual improvement suggestions.
  • Performs other duties as assigned.

Required Qualifications and Skills

  • U.S. Citizenship, required.
  • Ability to pass pre-employment background investigation, including credit and criminal check.
  • Must be able to obtain and maintain a DHS Suitability Determination, Secret clearance preferred.
  • Minimum of 2 years of management experience where you led teams of 30+ people.
  • Experience as a federal government contractor strongly preferred.
  • Express and exchange ideas clearly in the English language, written and verbal.
  • Proficiency with Windows PC / Laptop; Microsoft Outlook, Teams, Excel, Word, and PowerPoint applications.
  • Typing speed of 45 WPM preferred.
  • Experience with USCIS Records Systems preferred.
  • Ability to work effectively and efficiently in a team environment and relate well to others.
  • Ability to readily adapt to changing customer requirements.
  • Strong commitment to performing and producing at the highest level of quality at all times.
  • Ability to manage individual workflow effectively.
  • Positive attitude focused on customer satisfaction.

Required Education and Certifications

  • Bachelor’s Degree or a combination of education and experience.

Work Environment Setting /Location

  • 100% onsite.
  • 4-5-9 schedule may be possible after probationary period of 90 days.
  • Flexible availability Monday - Friday from 6am - 11:30pm may be required at times to ensure management coverage of the Site.
