Position Description
The Assistant Tenant Coordinator will assist with coordinating tenant improvement construction projects at operating and developing buildings. The Assistant Tenant Coordinator provides support to the VP, Tenant Coordination and collaborates with other departments in the company.

Responsibilities

  • Coordination and management of all aspects relating to Tenant Coordination as well as providing support to tenants and their contractors
  • Assist with coordination of Tenant design and construction activities in accordance with company and lease requirements
  • Prepare Tenant Improvement Allowance packages and assist with processing payment
  • Management of Lease related documents which includes but is not limited to tenant plans and correspondence, sign drawings and correspondence, Certificates of Insurance, Building Permits, Certificates of Occupancy
  • Prepare and distribute sign and plan approval letters, delivery notices, etc.
  • Review Tenant construction plans and work with internal team members and external construction teams to provide comments and/or approval
  • Attend Pre-Construction Meetings with Tenants and perform site visits during construction as required
  • Assist in obtaining current and complete COI’s for all Tenants and their contractors
  • Prepare vendor service contracts and construction contracts as needed
  • Assist with vendor competitive bidding to include preparation of RFPs, collection of proposals and creation of bid comparison worksheets
  • Partner with Leasing to provide support and develop the relationships as needed to handle Tenant's needs
  • Review Tenant Lease construction exhibits
  • Assist in performing inspections of Tenant Work and providing Punch Lists.
  • Understand, enforce and update the company technical specifications.
  • Assist with management of the tenant plan review and permit process.
  • Provide support in closing out tenant construction projects by collecting necessary documents
  • Effectively interact with Property Management, Leasing, Construction, Asset Management, Legal and Development to coordinate the tenant construction process and facilitate timely construction projects
  • Participate in weekly meetings as required and as needed
  • Miscellaneous tasks and duties as assigned


Qualifications

  • Associates degree required; Bachelor’s degree strongly preferred
  • Minimum of 2 years’ experience within the commercial real estate industry required, construction preferred
  • Excellent computer skills, particularly with Microsoft Office
  • Exceptional oral and written communication skills
  • Keen attention to detail and willingness/desire to roll up their sleeves to assist others
  • Highly organized and comfortable using independent judgement; not afraid to “own” their work, does not wait to be told what’s next and can take the lead on resolving issues
  • Friendly team player with a go-getter attitude
  • Must be able to adapt to a quickly changing task list and is naturally a self-starter who takes initiative to find answers under firm deadlines
  • Must be able to work under pressure, multitask and prioritize tasks in a fast-paced, entrepreneurial environment
  • Must be highly credible and trustworthy, and operate with high degree of integrity
  • Must hold oneself and others accountable and strive for a high level of excellence
