Position Summary:
The Bid Coordinator will pursue and support new and existing government and school business. Responsibilities will extend through all phases of the bid proposal process – from determining requirements and collecting information to bid submission to hand-off of successful bids to the Order Management Department. In addition, the Bid Coordinator will proactively monitor key databases, websites, and other channels for relevant competitive procurement opportunities.


Duties and Responsibilities:

  • Assists in identifying bid and agency opportunities to pursue.
  • Completes tasks necessary to maintain and renew existing awarded bids.
  • Act as the central point of contact on assigned proposals, and lead/guide the work to completion.
  • Completes government agency and school vender forms and bids, including contacting other departments to collect the required information for the bid.
  • Tracks, completes, and processes any required paperwork for bid renewals prior to expiration.
  • Maintains required price list updates that support awarded bids.
  • Oversees the completion of all formal bid documentation for the company including audits requested under bids and other non-medically funded sources.
  • Keeps a list of all bid/proposal data; contact information, passwords, and web sites in a central repository (includes all current bids and bid terms, Telecommunications Equipment Distribution Program Association (TEDPA) information, Vocational Rehab information and other additional resources).
  • Maintains, augments, and improves library of reusable components, templates, and processes to reduce response time and improve quality of future bids.
  • Annually monitors telecommunications to see if PRC-Saltillo equipment is covered.
  • Monitors proposal content to ensure compliance to Request for Proposal (RFP) requirements, evaluation criteria, and technical requirements are met.
  • Notifies departments involved of any requirements related to the bid that need to be met.
  • Updates the Alternative Funding Sources List quarterly and keeps updates on the Company Intranet (includes all current bids and bid terms, Telecommunications Equipment Distribution Program Association (TEDPA) information, Vocational Rehab information and other additional resources).
  • Updates bid related web sites with Company products, including product information and pictures as requested in coordination with products and marketing.
  • Coordinates with department that processes orders under bids.
  • Coordinates communication regarding sales opportunities related to bids and agency contracts.
  • Perform other duties as assigned.

Education and Experience:

  • Associates degree in business, marketing, communications, or 5 years equivalent work experience is required. Bachelor’s degree in Business Administration is preferred.
  • A minimum of 3 years working in a business development field is preferred.
  • Experience of working with a Customer Relationship Management (CRM) database would be ideal.
