Job Summary
The Catering Manager is responsible for all day to day catering services (planning, execution, and billing) for club special events, committee and athletic programming, and private member and sponsored events. The Catering Manager promotes the Club’s facilities for private banquets, business and social meetings for member and non-member guests. The Catering Manager must be well organized and competent in all aspects of the club, while providing the highest level of service to our members and guests. They will work closely with the banquet team, food & beverage, and other departments to assure that the member expectations are exceeded.
Job Duties:
- Promotes, advertises and markets the club social event facilities to all members and departments.
- Helps members and guests arrange banquets, luncheons, meetings, weddings, dances and other social events; obtains pertinent information needed for guest planning.
- Provides tours and offers suggestions in efforts to sell the merits of the club’s facilities for the occasion being planned.
- Works with the executive chef to determine selling prices, menus and other details for catered events; oversees the development of contracts; assures that pre-planned banquet menu offerings are current and reflect general member interests.
- Suggests menu and helps guests plan menu in conjunction with the Executive Chef and/or other culinary personnel.
- Communicates necessary information to and conducts event planning with Food & Beverage and housekeeping staffs; arranges for printing of menu and procuring of decorations and entertainment.
- Inspects finished arrangements; is present to oversee the actual service and greeting of guests.
- Checks special function sheets against room set-up, oversees personnel scheduling for special functions and may help supervise service personnel
- Attends weekly food and beverage service employee meetings to assure correct interpretation of club policies.
- Handles client complaints.
- Maintains past and potential client files; schedules calls/visits to assess on-going needs of prospective clients for catering services.
- Helps with set up as needed.
- Helps guests with parking, entertainment, decorations, audio/visual and any other requirements integral to events being planned.
- Ensures that all appropriate charges are billed correctly to each event and forwarded to the accounting department for billing
- Performs all other duties as needed
Shared Responsibilities
The Catering Department is central to the Club’s organization and communication. It is the department’s responsibility to provide members, guests and fellow departments with up to date information, clear communication and operational direction for all Club events to ensure the Club’s standards of service and execution.
The Catering Department is an integral part of the management team and shares in the responsibility of all catering events and club happenings. It provides support to all departments including Food & Beverage when needed.
Within the Catering Team, each manager shares in the responsibilities and the success of one another. It is expected that each team member support one other and provides assistance when needed.
Qualifications/Requirements
- Minimum three years of experience and a genuine passion for servant leadership
- Ability to efficiently plan, organize, manage, and lead the employees in the banquet operations department while ensuring member/guest satisfaction.
- Working knowledge of various computer software programs (MS Office, restaurant management software, POS).
- Communication and leadership skills.
- Familiar with up-to-date food and beverages trends and best practices.
- Member / guest-oriented and service-minded
- Must have the ability to remain calm in high stress situations
- Have a passion for continued professional growth in the hospitality / food and beverage industry
- Have a positive attitude, and foster an environment of teamwork and company culture
- Available to work event-based hours, including days, nights, weekends and holidays
- Must have a professional image and demeanor
- Requires occasional lifting, carrying, pushing, and pulling up to 50 lb.
- Ability to stand for extended periods of time
