Position Summary

The Center for High School Programs Front Desk (Program Specialist II) position works under general supervision and reports to the Center for High School Programs Program Specialist. This position uses independent judgment to coordinate designated day-to-day operations of a busy department with 5 distinctive high school programs and requires frequent use of technology to coordinate events and input student information. This position also provides program specific assistance, interpreting, and applying specific Washington State policies, procedures, and regulations as they apply to department and division protocol. The position requires knowledge of the services and protocols for dual credit programs, student success strategies, and with Bellevue College's core student support services. The position also requires knowledge of the K-12 high school graduation requirements, the state Youth Reengagement Programs, College in the High School Program, Running Start Program and Pacific Northwest CTE Program, while engaging students through equitable and inclusive services.

This position is required to work on campus in person.

Pay, Benefits & Work Schedule

Annual Salary Range: $42,852 - $57,216.

Annual salary will be commensurate with candidate's qualifications and related experience. Individuals newly hired to Classified group at the college cannot be placed above $55,752 per union bargaining agreement.

We offer comprehensive compensation package with salary and benefits as the main components. Competitive salary is within the Range stated above, and commensurate with qualifications and experience. The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department

The Center for High School Programs is a self-funded program that supports the mission of Bellevue College by providing high quality, needs-based and accessible services, which support student access to and completion of educational opportunities that advance pluralism, inclusion, and global awareness. The department is comprised of trained and experienced professionals who work directly with Bellevue College dual credit students to meet high school and college educational and career goals. Front Desk provides complex comprehensive and timely service and information for students, parents, high schools, school districts, faculty, and other staff related to the support of College in the High School Program, Career Education Opportunities Program (CEO) and the Running Start Program.

Essential Functions

Front Desk

Greet, screen and assist visitors both in person and over the phone.
Coordinate services and resources related to the day-to-day operations of the Center for High School Initiatives.
Serve as the main point of contact for Center for High School Program Initiatives including Career Education Options (CEO) Program, the College in the High School Program, and the Running Start Program.
Provide direct, front-line service to students, staff, faculty, and other program partners.
Interact with a diverse population of staff, faculty, students and/or parents, high school and school district staff, and the State of Washington Partners.
Provide visitors with contact information and directions for booking appointments.
Troubleshoot various student issues that come to the front desk and help seek to find solutions. Including inquiries regarding rules, regulations, policies, K-12 state law and program procedures, college processes and services.
Respond directly and promptly to inquiries in-person, over the phone, and via email or online ticketing system. Responding to correspondence containing routine inquiries, for five dual credit programs.
Ensure front desk coverage during office hours.
Schedule program specific workshops and events.
Perform complex scheduling including independently prioritizing needs of students, staff and faculty.
Maintain confidential student records and adhere to FERPA guidelines.
Data and Reporting

Student data management.
Enter and retrieve data; generate reports, correspondence and documents for all high school programs. Create and manage complex reporting using various software programs and database programs.
Assist with maintaining department SharePoint sites; create and update computer system files.
Onboard new students by coordinating and scheduling mandatory program orientations.
Review and assist with the completion of paperwork and submit documents to various programs.
Update department's databases, organizational chart, and contact lists with changes to K-12 staff.
Update program websites.
Data entry in student management system for all high school programs.
Maintain Program web.
Collaboration

Assist program staff to create, develop, compile and write communications and promotional literature for distribution such as newsletters, brochures or flyers; coordinate process from development through printing and distribution. Collaborate with team members on communication and marketing plan.
Maintain Department's News & Events in content management system (i.e. WordPress). Maintain all programs outreach materials for check-out.
Participate in all program's outreach activities. May make or assist with public presentations in person or via online related to Running Start or the CEO Programs.
Assist in planning and coordination of department program events; Follow campus procedures to organize events/meetings.
Support printing and distribution of events/meetings materials. Compile, transcribe, and distribute meeting minutes as needed.
Perform other duties as assigned.

Minimum Qualifications

High school graduation or equivalent.
Two (2) years of experience in a high-traffic customer service environment.
Experience with working in a K-12 or college environment.
Experience working in a collaborative team environment with diverse employees and student/customer groups.
Advanced skills in data entry.
Demonstrated effective interpersonal skills in the areas of collaboration, team participation, creative problem-solving, conflict resolution, and group planning.
Demonstrated ability to use Microsoft Word, Excel, and Outlook.
Demonstrated ability to use computers for data entry, web applications, searching the internet, and troubleshooting basic computer issues.
Must be able to work an alternate schedule, such as evenings or weekends.

Preferred Qualifications

Associates Degree or equivalent educational experience.
Two (2) years' experience in K-12 and college dual credit programs.
Experience performing complex scheduling.
Experience working in Higher Education.
Knowledge of Bellevue College.
Experience working in WordPress.
Experience using Customer Relationship Management (CRM) business applications and working with digital outreach campaign.
