Summary:


The Coordinator of Refugee Resettlement Services provides advanced clerical and administrative support to the Refugee and Immigrant Community Services. Responsibilities include: administrative oversight and reporting; coordinating case file review; completing program reports ; quality improvement and contract compliance. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework outlined below.


Duties:

  • Provides general administrative support to Refugee and Immigrant Community Services’ programs.
  • Conducts regular and timely case file reviews to ensure compliance with funder reporting requirements.
  • Oversees allocations and complete assurances.
  • Completes Affidavit of Relationships (AORs) and conducts AOR outreach
  • Coordinates contractual interpreters; manages time sheets and scheduling
  • Coordinates legal clinics with community partners
  • Ensures compliance with case file management and reporting requirements
  • Performs specialized data processing tasks under limited supervision for the program/department, as defined by program needs and contractual requirements, including but not limited to data entry, word processing and filing.
  • Manages information systems and departmental files as assigned. Ensures accuracy, confidentiality and consistency of filing systems, charts and records.
  • Prepares reports, spreadsheets, presentations, newsletters and other collateral materials for grant applications, compliance reports and program events. Assists management in managing timelines and due dates.
  • Coordinates purchasing process for Refugee and Immigrant Community Services Office by entering and accounting for all programmatic requests.
  • Ensures procurement procedures have been completed before submitting e-requests where procurement is needed
  • Coordinates client support requisitions and related items, within defined budgetary limitations.
  • Coordinates and maintains client support gift card inventory, including purchasing of cards, creating custodian log and issuing cards to the appropriate program managers. Liaises with designated FAS staff for accounting of cards.
  • Assists management in monitoring program expenditures and ensuring compliance with internal controls. Coordinates the purchase of new software and hardware, and ensures compliance with departmental and fiscal operations
  • Reconcile financial items and prepare and monitor expense reports, credit card detail and contract billings.
  • Prepare records, contracts for signature or submission, personnel and other documentation and ensures the appropriate filing and distribution of such data. Develop forms, as needed, and establish procedures for processing data and information. Maintain confidentiality of all documents and other information.
  • Develops advanced knowledge of relevant program and service/treatment-related terminology.
  • Maintains and appropriate professional demeanor and cultural understanding towards co- workers, visitors, clients, supervisors and other non-personnel.

  • Education and/or Experience: An Associate Degree and seven years related experience required. Experience with refugee resettlement strongly preferred. May give credit towards years of experience if attained a degree higher than an Associate’s Degree.
  • Communication Skills: Excellent verbal and written communication skills. Effective business writing skills and the ability to communicate clearly with all levels of staff with an attention to organizational structure and department responsibilities.
  • Other Skills and Qualifications: An effective self-starter with creative problem-solving skills who can perform a variety of work with minimal direction. The ability to multi-task and to react productively to change.
  • Language Skills: Excellent oral and written communication skills. Demonstrated competency in public speaking and strong interpersonal skills required.
  • Computer Skills: Demonstrated proficiency in Word and Excel. A functional knowledge of Power Point, Outlook and the Internet. The ability to create professional reports, organization charts, diagrams and graphs.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
