JOB TITLE: Creative Mentoring® (CM) Program Assistant
The CM Program Assistant reports to the CM Director and is responsible for managing the mentor Application process as well as ongoing communication with mentors.
Duties and Responsibilities Include:
- Enter applicant information into our secure database
- Process criminal background checks to Delaware State Police
- Process Child Protection Registry requests on CPR website
- Call and document applicant references into the database
- Maintain accurate application status information by updating the database and the application paperwork
- Maintain application paperwork and ensure accurate and secure storage
- Manage mentor training process:
o Maintain Mentor Training Signups
o Schedule Zoom sessions
o Email class instructions to mentors
o Follow-up to confirm class attendance 24 hours prior to class
o Provide attendance sheets to facilitators
o Document mentor attendance/need to reschedule
- Forward completed applications to program coordinators
- Communicate with mentors as necessary to address concerns and to ensure a smooth process from application to match
- Provide ongoing support for school coordinators regarding the application process
- Input High School mentors, partner staff mentors, etc. into the database.
- Attend Community Events as needed to promote awareness and recruit mentors.
- Follow up with potential mentors after recruitment sessions to keep them engaged in the program and to assist with the application process.
- Utilize recruitment strategies when corresponding with applicant references. Assist potential mentors with the application process and provide ongoing support
- Attend regularly held staff meetings and board or other meetings when requested.
- Be willing to travel within the state to represent the organization at various events.
- Must be available to work occasional evenings and weekends.
- Observe all CGI policies and procedures.
- Support Connecting Generations mission.
- Assist Director, Creative Mentoring with administrative tasks as needed.
- Perform additional tasks as assigned.
Hours
- Observes a minimum 37.5-hour workweek.
- This is an exempt position.
- This is a full-time position. The position is funded yearly; funding approval occurs when the CG fiscal year budget is approved, usually in June.
Performance Reviews
- Reports to the CM Director.
- Establish personal, professional, and programmatic goals on an annual basis. Goals will be developed in consultation with the CM Director.
- Meet annually with the CM Director to review progress towards approved goals.
