Position Summary:
The Credentialing Assistant will help support the organization with all credentialing, compliance and physician onboarding/offboarding needs.
Shift (Part-time):
Monday - Friday (3-5 days per week)
Some Weekends and evenings depending on the project and deadlines
Hours may vary depending on projects and deadlines
One to two days per week in-person depending on projects and deadlines
Essential Roles and Responsibilities:
- Collaborate with the Sales/Marketing and Practice Management departments to collect and review credentialing documents for new and established QME partners.
- Verify the accuracy and completeness of documents, ensuring that all required information is provided, entered and uploaded onto the database.
- Assist in the timely processing of all credentialing and compliance requests.
- Assist in the onboarding and off-boarding of QME partners.
- Follow and stay up to date with the Department of Workers Compensation, Board of Chiropractic Examiners and QME regulatory requirements and organizational policies.
- Assist new QME partners with the enrollment and preparation for the QME certification process.
- Assist new QME partners with onboarding to CME and existing QME partners with offboarding.
- Assist existing QME partners with the recertification, reappointment and CEU process.
- Assist in the preparation and timely submission of all credentialing packets.
- Assist in preparing and submitting documents for audits and compliance requests.
- Maintain files and documentation of all credentialing and compliance submissions.
- Accurately calculate and process any fees or payments due for credentialing purposes.
- Generate reports and provide credentialing and compliance data as needed.
- Collaborate with internal and external parties to address inquiries and resolve issues.
- Collaborate with department manager and other departments to document SOPs, Policies and Procedures, Best Demonstrated Practices and Knowledge-Based Articles.
- Act as the primary point of contact for credentialing and compliance needs in the absence of the department manager.
- Schedule and assist in the facilitation of inter-department meetings and collaboration initiatives
- Excellent verbal and written communication skills with the ability to interact professionally with QME partners and stakeholders.
- Excellent interpersonal, troubleshooting and conflict-resolution skills
- Excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Qualifications and Preferred Skills:
- High School Diploma (Associate or Bachelor’s Degree Preferred)
- Prior experience in an administrative assistant role in healthcare or law
- A minimum of 3-5 years of work experience as an administrative assistant
- Familiarity with credentialing processes and requirements (preferred)
- Strong analytical and problem-solving skills with the ability to work independently and as part of a team.
- Comfortable with the use of technology, databases and Microsoft Office applications.
- Ability to maintain confidentiality, adhere to ethical standards and handle sensitive information appropriately.
