Medical Staff Program Manager – Credentialing Services

Here’s What You Need:

  • Associate’s degree (required)
  • Bachelor’s degree (preferred)
  • 3 years of medical staff credentialing experience (required)
  • Experience verifying the licenses/certifications of physicians and other licensed staff (strongly preferred)
  • CPCS - Certified Provider Credentialing Specialist (required within 3 years of hire date) or
  • CPMSM - Certified Professional Medical Services Management (required within 3 years of hire date)

A successful Medical Staff Program Manager will have:

  • Computer and database management skills with ability to work under pressure with frequent interruptions
  • Strong verbal and written communication skills along with organizational skills preferred
  • MSOW experience helpful

What You Will Do:

Medical Staff Coordinator
Coordinate and process requests for applications, evaluate eligibility for application receipt according to bylaws. Upon receipt of a complete application, initiate the information collection, verification, and documentation process per established policies and procedures. Forward completed applications to supervisor as required. Enter or post requested privileges in database. Provide statistical information on the credentialing process by accurately recording start and complete dates. Manage and maintain accurate and up-to-date computerized database and credentials files for all appointees as assigned. Provide follow up support to new practitioners as needed.
Monitor the reappointment and elevation processes from initiation to completion according to established policies and procedures. Ensure timely completion of reappointment and elevation application process, renewing of privileges, and review by supervisor.
Prepare agendas for committees/division meetings in collaboration with supervisor as well as other staff members who may need to be involved. Make other preparations for the meeting including reserving a room, ordering food, and sending notifications. Attend meetings, document accurate minutes, and follow up as appropriate. Work with supervisor to prepare annual report to the Medical Board and conduct election of new officers. Review and update privilege request forms as needed.
Serves as a resource for hospital staff, physicians and their office staff in relation to Medical Staff activities.
Perform additional duties that are temporary in nature due to business needs including development of credentialing criteria for new privileges, processing requests for additional privileges, responding to both internal and external customers requiring reports or information, and special projects.
Assists the quality department with gathering and reporting of data related to focused and ongoing professional practice evaluations of current competency of the medical staff and credentialed allied health professionals.

Physician Orientation
Meet with physician and review the Orientation Handbook, Medical Staff Rules and Regs and Bylaws.
Assist with setting up CareConnect training, MUSE training, tour of hospital and introduce to staff, nursing and physicians, getting badge and access to secure areas.
Meet with Quality and Patient Safety managers to review KPIs and RCBs specifically using order sets etc.

Administrative Representative for Medical Affairs
Is available to members of the medical staff as an avenue to voice issues or concerns they may have with hospital operations. Responds timely and appropriately to inquiries. Forwards issues as well as recommendations for improvement to hospital’s administrative team.
Uses knowledge and experience with medical staff organization and process to make recommendations to medical staff leadership.
Assists with gathering benchmark information relevant to issues facing medical staff leaders.
Manages the creation and dissemination of specialty specific call schedules.
Provides support to clarify credentialing issues with the Chair of the Credentials Committee and all Division Chiefs.
Provides for and oversees administrative support for meetings to Committee Chairs and Division Chiefs to include announcements, agenda, and minutes. Maintains permanent minutes for medical staff committee meetings.
Maintains records for communication and global information that is disseminated to the medical staff.

Regulatory and Compliance Support
Maintains knowledge of the Joint Commission requirements pertaining to medical staff for continued accreditation. Assesses standard compliance and provides recommendations to maintain compliance.
Maintains knowledge of hospital’s Medical Staff Bylaws and Rules & Regulations and reviews these annually. Provides recommendations to the Bylaws committee.
Educates the medical staff and hospital staff on current Joint Commission standards, facility Medical Staff Bylaws and Rules & Regulations, and medical staff policies to promote awareness and to ensure compliance.
Assists with conducting investigations to address issues with TDH, TMB, TMF, or any other regulatory agency as directed by the Hospital President or Chief Medical Officer.
Assists with conducting investigations to address concerns related to disruptive or inappropriate behavior, possible impairment,
HIPAA security violations, or any other issue or concern related to hospital or medical staff policy as directed by the Chief Medical Officer.
Collaborates with TREI to provide continuing medical education opportunities for the medical staff.
Assists with the development of medical staff policies, and revisions to Medical Staff Bylaws and Rules & Regulations and medical staff policies in conjunction with appropriate medical staff leaders, the hospital’s administrative team, and other department heads.

Medical Staff Services department operations
Develops and monitors the operating budget for Medical Staff Services.
Serves as the primary contact person for other hospital and corporate department heads concerning medical affairs and medical staff issues and concerns.
