Job Summary: The Customer Service position is a critical position in our overall order process. The primary requires involve regular and ongoing communications with vendors throughout the completion of the order and strong communications with the Expediting Manager and internal team members regarding late, problematic purchase orders etc.
Essential Duties and Responsibilities
Vendor Communications
- Contact vendor with a new purchase order within 3 business days of placing the order. Maintain follow up with the vendor to ensure that due date/confirmed shipment date for the order is met.
- The expectation is confirmed receipt of the order and verify a confirmed shipment date.
- Document the Global Shop System (GSS) regarding any correspondence sent by vendors, ex: order acknowledgments, updates related to the orders, etc.
Delivery Documentation
- Use the daily FEDEX & UPS report to document the system regarding any goods that have been shipped to the vendor. Updating the system with tracking information and indicating goods shipped to vendor.
- Contact 3rd Party Trucking companies {FEDEX, UPS, DM TRANSPORTATION} regarding problematic shipments, ex: shipments lost in route, shipments delayed, etc.
Internal Communications
- Email and update GSS the appropriate parties, ex: the Quality Team, The Accounting Team, Buyers, etc., if a vendor indicates that an order is on hold.
- Alert Project Managers and Buyers to any pertinent information (ex. Delays, new shipment dates, etc.), regarding a purchase order that is associated with a contract that they are managing. Include Expediting Manager on all correspondence
- Alert Receiving and Quality to an urgent order that is due to arrive.
- Follow up with the Receiving Team regarding an order that has arrived and not been moved along (ex: order received but not moved received in or moved to the Quality Team)
- Follow up with the Quality Team regarding an order that has been received to inspection and there is no movement in (1) week.
Other related duties may be assigned.
Work Environment? Able to effectively work in an open, cubicle work setting with reasonable degree of general office noise, distractions. Physical demands?primarily include: 80% - sitting for long hours; 15% - bending, filing
