Purpose of Your Job Position
The primary purpose of your job position is to manage the facility census by opening and maintaining the accounts with insurers, community organizations and hospitals, which generate patient referrals and admissions. You are entrusted to provide innovative, responsible healthcare with the creation and implementation of new ideas and concepts that continually
improve systems and processes to achieve superior results.
Job Functions
As Director of Admissions, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. Responsible for managing the facility census by opening and maintaining accounts with insurers, community organizations and hospitals, which generate patient referrals and admissions. Supervises the Admissions Coordinator when applicable.
Duties and Responsibilities
- Achieves facility census goals and annual budget projections.
- Acts as liaison between the company and the outside community.
- Works with local community agencies to generate a positive image and encourage referral activities.
- Participates in industry trade shows and business development activities, as assigned.
- Develops strategies to maximize admissions including daily contact with potential referral sources including but not limited to hospitals, physicians, insurers, case management companies and health care agencies.
- Conducts admission screening of potential patients, determine level of care, services required, equipment needs and insurance coverage, as indicated.
- Decides acceptance of patients and coordinates admissions with appropriate staff.
- Notifies Regional Vice President of Admissions prior to denial of any patient.
- Maintains knowledge of current regulations governing Medicare, Medicaid and private insurance company reimbursement.
- Collects appropriate data, prepares and submits required reports to Regional Vice President of Admissions as assigned with copies of reports to Executive Director.
- Maintains effective communication with Consulate Health Care personnel, as assigned.
- Attends and participates in weekly admissions/operations meetings, as assigned by Regional Vice President of Admissions.
- Participates in the facility quality improvement process by identifying customer service issues and reporting these issues to the Executive Director.
- Accesses continuing education opportunities appropriate to discipline and responsibilities as approved by Regional Vice President of Admissions.
- Adheres to all Company Policies and Procedures, and participates in safety, quality improvement and infection control programs as assigned.
- Conducts tours of facility for prospective residents whether walk-ins or scheduled admissions.
- Responsible for ensuring the following duties are carried out within the department:
- Patient referrals are received by the facility and followed up accordingly.
- Contact families of potential resident and invites for tour.
- Tracks pre-admission referral activity daily.
- Assist with arrangements and confirmation of all admissions.
- Assigns attending physician.
- Assure level of care approval obtained and/ir IBRA screen (PASSAR, MIMR) when indicated.
- Verification of payor source, i.e., Medicare Managed Care, Medicaid, Insurance.
- For Medicaid pendings, collect copy of date-stamped application prior to admission. All deviations require prior approval of
- Executive Director and RVPO.
- Obtain prior approval number from payor on a per case basis when authorized.
- Notify case manager and /or DIRECTOR OF CLINICAL SERVICES of any potential risks.
- Order specialized equipment as indicated (review contract content for need to obtain prior approval from authorized payor. Example: CPM, Flexicare, when authorized).
- Notify departments of anticipated admission.
- Complete face sheet, attaché to clinical screen, copy and distribute to appropriate departments.
- Contact the County Department of Social Service/Medicaid office to verify eligibility and determine estimate of co-pay/family participation amount when appropriate.
- Tracks acute hospital admissions to ensure readmission of patients. Welcomes patient on admission and accompanies patient to room.
- Ensures receipt of all necessary documentation from referring institution.
- Assigns medical record number; enters patient Admission Log Book.
- Initiates and completes specified components of the facility admission packet with patient and /or responsible party.
- Assist Business Office Manager with collection of private funds and/or co-pay/family participation if not collected during preadmission.
- Maintains resident roster, waiting list and inquiry list as specified per state regulations including receipts.
- Coordinates room assignment designation with nursing department.
- Coordinates clinical assessments/screening and ensures appropriate clinical acceptance in a timely manner.
- Ensure timely delivery of census report to corporate office and essential services as per company policy.
- Attends morning meeting and/or PPS meeting.
Education
Secondary Education Degree required. Nursing degree preferred. Current state license, as appropriate.
Experience Requirements
- Three (3) years experience in business development. Managed care/insurance preferred. Experience with public and commercial payers sources preferred. Experience working independently. Excellent verbal, written and interpersonal communication skills.
