Enrollment Management and Student Success Administrative Support Specialist Job at Virginia Southside VA Community College
Southside Virginia Community College (SVCC) is seeking an Enrollment Management and Student Success (EMSS) Administrative Support Specialist to support the mission of the EMSS Division by ensuring optimum administrative operations and customer service to students.
This position provides direct administrative support to the Vice President of EMSS and Division staff as appropriate, processes purchase orders, contracts, local funds vouchers, and travel reimbursements. The EMSS Administrative Support Specialist provides operational support to the Admissions and Records Office, assists students with class registration and enrollment, and responds to general student inquiries regarding available programs/services.

The EMSS Administrative Support Specialist provides operational support to the Admissions and Records Office, assists students with class registration and enrollment, and responds to general student inquiries regarding available programs/services.
Responsibilities include but are not limited to:
- Serve as the first point-of-contact for students and the general public – assist students with general questions regarding admissions, registration, and general information about SVCC; serve as a triage responder for EMSS and the College by directing students to appropriate departments
- Provide direct administrative support to the Vice President of EMSS and the Division – keep records, maintain budgets, order supplies, complete travel vouchers and purchase orders
- Provide operational support to the Admissions Office and student onboarding functions – provide Admissions Office coverage; assist students with class enrollment; utilize the Student Information System (SIS) and Perceptive Content to accomplish ongoing college-wide admission functions and tasks; run appropriate queries in PeopleSoft; assist students with the college application process, transcript requests, domicile, and grade changes; assist with college sponsored events/programs and serve on college committees

Minimum Qualifications
- Associate’s degree or a combination of equivalent education and experience
- Valid driver’s license
- Knowledge of admissions requirements, registration and enrollment processes, financial aid opportunities and applicable federal guidelines, including the Family Educational Rights and Privacy Act (FERPA
- Ability to represent the college’s goals and mission as a positive role model
- Ability to respond meaningfully to the needs of individuals with respect, sensitivity, and civility
- Ability to establish and maintain effective working relationships with faculty, staff, other departments, students, and the public
- Ability to handle confidential information, use professional discretion, and exercise ethical conduct
- Ability to effectively solve problems and proactively deal with emergency situations as they arise
- Ability to work efficiently and accurately in a fast-paced environment
- Ability to use independent judgment and discretion; ability to manage multiple projects
- Ability to display self-confidence, patience, empathy, and availability when building rapport with students
- Ability to work a flexible schedule that will include some evening and weekend hours during peak enrollment season and targeted onboarding activities
- Demonstrated ability to work effectively both independently as well as part of a team
- Effective oral and written communication skills
- Experience working with racially, ethnically, economically and age-diverse individuals
- Professional communication, critical thinking, time management and multi-tasking skills
- Strong interpersonal skills to help engage and provide support to students
- Recent, professional experience with internet applications and PC-based software (Microsoft Office, Google Docs, PeopleSoft)
- Excellent customer service and organizational skills, including the ability to effectively follow-up and follow-through
- Desire and capacity to learn and grow as professional needs arise
Preferred Qualifications
- Experience working with students in a community college environment
- Competency in customer relationship management (CRM) software, PeopleSoft, Navigate and other technologies
