The University of Notre Dame (ND.jobs) is accepting applications for a Conferences and Events Assistant (Part-time, Rome).

The Conferences and Events Assistant serves the University of Notre Dame at the University's Rome Global Gateway (RGG) providing administrative and logistical support to the conference and event manager.
Duties and Responsibilities:
- Liaise with service providers to coordinate accommodation, catering, travel and any other event related services, as needed;
- Create and regularly update a database of participant lists with relevant requests and information;
- Research cultural activities and tours and make reservations when required;
- Ensure that event supplies are available and notify the events manager if supplies need to be purchased;
- Assistance in event set-up (preparation and printing of all necessary materials), execution and dismantling (reorganization of the conference room and reception areas);
- Provide general assistance during events, which may include the following tasks: welcoming and registering of guests, assisting in the conference room with AV, escorting guests to reception areas, booking of restaurants or taxis and attending to any needs which may arise.
Please note, this is a part-time position (20 hours per week) for a 6-month fixed term with the possibility of extension. Preferred start date is September/October 2023.
Minimum Qualifications:
- Fluency in the Italian and English language, both written and oral;
- Three years of working experience in a relative field;
- University degree;
- Applicants must be authorized to work in Italy.
- Commitment to delivering high quality guest experiences;
- Flexibility to resolve issues quickly and calmly under pressure;
- A proven ability to work autonomously and collaboratively in a team;
- Strong communication, organizational and time management skills;
- Willingness to work flexible hours, including evenings and weekends
