Finance Event Coordinator:

Job Summary:

The primary purpose of this position is to assist the Finance Conference Chair and the Conference Committee in planning, advertising, and executing all details to create high-quality Finance Conferences. This involves working with BYU Marriott School web team to design the registration websites, create all marketing materials and event signage, advertise to Finance students and alumni, devise efficient registration processes, order catering, create an attractive and functional atmosphere, arrange for photography, adhere to a budget, and track all receipts, and order and brand all SWAG items for participants and gifts needed for professionals and guest speakers for each conference. This person will follow up by survey for feedback after each conference. This position will also help facilitate our Finance alumni engagement by assisting with our Finance Alumni BBQ, finding alumni hosts and sponsors for Finance events, helping to compile our Finance Alumni newsletter and assisting in planning for networking trips.

This is a part-time position, working approximately 17.5 hours per week. Scheduled days and hours are typically flexible; there may be a possibility when approved for some remote hours. Weeks leading up to conferences are busier than other weeks; the employee also has the option to put in additional hours on busy weeks and work fewer hours other weeks. Our office staff is very supportive and fun; all team members participate in building an outstanding and uplifting morale to provide a thriving working environment. The Finance Department is an integral program within the BYU Marriott School of Business and participates directly in the School's vision of aspiring to transform the world through Christlike leadership.

Responsibilities include:

Conference Operations -

  • Working with conference chair and committee for event
  • Plan, advertise and executive events multiple times a year
  • Create and manage registration site in collaboration with BYU Marriott web team
  • Create and help distribute marketing materials
  • Manage registrant processing, catering, event set-up and take-down
  • SWAG, speaker gift, photos for events
  • Communicate with Finance Alumni regarding events and their participation
  • Facilitate post-conference feedback survey and lesson-learned report
  • Collaborate with BYU Marriott marketing and communications team regarding event write-ups

Alumni Engagement -

  • Use Alumni Engagement database for conference marketing and invitations
  • Connect with alumni via Alumni Engagement database for establishing connections for NetTreks (networking trips for finance students)
  • Assist with Finance Alumni Barbeque Event
  • Assist with quarterly Finance Alumni newsletter
  • Communicate via LinkedIn with alumni

NetTreks -

  • Plan, market, and facilitate arrangement for NetTreks
  • Gather and prepare gifts for presentation to NetTreks trip partners
  • Follow up trips with thank you notes

Qualifications:

Required: Associate degree and 2 years of professional office experience or equivalant combination.

Preferred: Bachelors degree and 2 yeasr of professional office experience. Event planning experience a plus. Experience working at college or university level is highlyl desirable.

Required:

  • Proficiency in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Self-motivated, detail-oriented, ability to meet deadlines
  • Ability to work well with diverse personalities

Preferred:

  • Social media management experience
  • Event planning
