Lutheran Social Services of WI and Upper MI is growing its Fundraising team with an Event & Sponsorship Coordinator.
Reporting to the Church Relations Liaison, the position of Events & Sponsorships Coordinator provides support for the philanthropy team and assistance to other department activities as directed. The Coordinator is directly responsible for managing and implementing high-quality effective fundraising events in support of Lutheran Social Services of Wisconsin and Upper Michigan, Inc. The Events & Sponsorships Coordinator will guide event marketing and communication efforts in collaboration with the LSS Communications team.

This position requires a highly relational self-starter with excellent time management skills, strong communication skills, high level attention to detail and ability to remain focused working both in an office and remote/home environment. This position offers the opportunity for growth for the right candidate in donor relations and nonprofit fundraising.

Position is generally M-F first shift, but will require occasional evenings and weekends. Daily work can be done from home.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

  • Develop, plan and implement the agency’s fundraising special events including Partners Circle, donor gatherings and planned giving engagement opportunities.
  • Work with agency leadership, and event committees as needed, to plan the scope and format of events; establish and monitor specific event budgets; and solicit financial sponsors and other donations (i.e. auction and raffle items) based on event design.
  • Develop planning meeting agendas and facilitate meetings; conduct post-event evaluations and reviews.
  • Co-create with colleagues, and volunteer event committees as appropriate, promotional items (invitations, flyers, brochures, sponsor recognition, etc.) and other event communications (run of show, script, presentation materials, etc.).
  • Coordinate services for events, including audio visual equipment, accommodation and transportation for speakers, facility reservations, catering needs, signage, displays, special needs accommodations, and event security (if needed).
  • Conduct walk through of event facilities to ensure that they meet all event requirements.
  • Review event expenses for accuracy, and submit for approval and payment.
  • Evaluate, recommend and notify selected vendors after competitive bid process.
  • Support, coordinate and engage event committees and volunteers through administrative tasks, communication, scheduling, and record keeping. Recruit and coordinate volunteers to help staff events. Direct staff and volunteers during events.
  • Monitor event activities to ensure satisfaction of participants, resolution of any issues that arise, and compliance with applicable regulations and laws.
  • Create timely event reports for analysis including revenue and expenses for LSS leadership.
  • Provide consultation to other LSS agency events as directed (i.e. ribbon cuttings, briefings, announcements, etc.).

Qualifications

EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree in Business Administration, Communications, Non-Profit Management or related degree, along with a minimum of 2 years’ of related experience with prior events, fundraising/annual fund support, and/or gift solicitation experience is required. In lieu of degree, an equivalent combination of education and related experience will also be considered.
  • A passion for human services is required.
  • Demonstrated success in donation solicitation (cash, pledge and in-kind).
  • Experience with Raiser’s Edge/NXT desired; Microsoft Office Suite required.
  • Excellent interpersonal, oral and written communication, and organizational skills. Ability to relate openly and comfortably with diverse groups of people, and build networks inside and outside of the organization.
  • Willingness to take on new challenges with a sense of urgency and enthusiasm, while also able to rebound quickly from setbacks and adversity.
  • Able to persuade others and use compelling arguments to gain the support and commitment of others.

CERTIFICATES, LICENSES, REGISTRATIONS:

Must have a valid driver’s license and have reliable transportation to perform the essential duties of the role; a motor vehicle check (MVR) with a satisfactory driving record per the LSS Driver Safety Procedure is required, and ability to meet LSS auto insurance requirements.


LANGUAGE SKILLS:

Ability to communicate both in verbal and written format, effectively and efficiently in job.


COMPUTER SKILLS/TECHNOLOGY:

Moderate knowledge of Microsoft Office Suite. Additional knowledge of computers to allow employee to access computer systems and applications to complete timecards, read and respond to email, and complete required on-line training.

TRAVEL: Occasional evening/weekend work required. Ability to travel on day trips as required up to 25%. Limited overnight travel may be required.
