Executive Administrative Assistant
Reporting to the Chief Operating Officer (“COO”), the Executive Administrative Assistant position is responsible for applying a clear understanding of the company business in order to provide comprehensive administrative support for the COO and other designated senior executives.
Major Accountabilities:

Applying an in depth understanding of the business, attend to requests coming into the COO and his direct reporting group, providing an appropriate level of attention, listening to the issue, understanding the business impact, and responding with appropriate actions.

Proactively manage calendar of COO, ensuring he remains on schedule and properly prepared for events. Coordinate management of the calendar of other team members as needed.

Ability to gain trust and keep confidences, successfully interface smoothly and effectively with all levels and departments within the organization.

Ensure that workflow is handled for maximum efficiency with the ability to accommodate shifting priorities and/or unforeseen tasks that are time sensitive.

Prepare and distribute reports/materials as required, including materials in preparation for Board meetings.

Have the functional and technical knowledge and skill to perform at a high level, including administrative duties such as typing, filing, and maintaining correspondence.

Coordinate all travel arrangements for COO and members of his direct reporting group in accordance with established procedures.

Perform other duties as assigned by Management.
Qualifications:
Education/Training Requirements: Bachelor’s degree or commensurate experience required.
Experience: Minimum five years’ experience working in an administrative support role for management required.
Specialized Skills: Advanced computer skills (word processing, spreadsheets, databases, Internet, e-mail) required.
Physical Requirements: Constant use of vision, hearing, and communication (oral and written in person and via telephone). Frequent concentration, standing, walking, handling, reaching, and grasping. Occasional bending, kneeling and lifting (up to 25 lbs.) Heavy use of computer and office equipment.
Travel/Hours of Service: Occasional travel may be required. Periodic work outside of standard business hours or on weekends may be required.
