Summary:
The role of the Executive Administrative Assistant/Office Manager is to provide high level administrative support to the CEO/Executive Director and Chief Philanthropy and Mission Advancement Officer in the workplace managing executive requests, and other office duties. A successful Executive Administrative Assistant has the ability to think on their feet and make decisions quickly and efficiently with little supervision. They're resourceful people who love taking the initiative. They will maintain efficient and timely operations within the administrative side of the organization, including the Development and Accounting teams. The team member will not only provide general office support with a wide range of administrative duties, but they will be involved in assisting the Development team tracking the donations, grants and inflows to the business through the donor management system as well as administer the flow of information and documents to the outsourced accounting team. They will maintain the Association of Fund Raising Professional’s code of ethics in all work related duties. This person will be able to function in a confidential manner with information from residents and donors.
Essential Duties:
- Accounts Payable/Receivable
- Maintains working relationship with SAOS account representatives regarding all AR/AP specialist procedures and protocols. Serve as the coordinator for the accounting team by providing bills received via mail or email on a daily basis.
- Accurately codes invoices prior to submission to SAOS for payments.
- Provides CPA firm with information necessary to complete annual audited financial statement in a timely manner.
- Ensure vendors are maintained effectively for proper accounting.
- Execute one off manual payments when necessary with the accounting team.
- Manages credit card usage and submission of invoices.
- Reconciles credit card charges to monthly statements; obtains support for charges.
- Resolves payment discrepancies and disputes on behalf of the company; issues stop payments, makes payments.
- Prepares checks for signature, mails or distributes checks as assigned
- Banking
- Manages bank accounts; reconciles monthly statements.
- Accepts checks received through mail; prepares bank deposits for CEO to make deposits.
- Provides development team with copies of all deposits related to donor gifts, grants, and foundation support.
- Tracks online donations and reimbursement for services provided; reconciles deposits.
- Development
- Tracks invoices related to grants and contract reimbursement; provides development team with information on spending.
- Tracks event sponsorships, expenses, and revenue.
- Register donations on Charity Proud; provide information to Chief Philanthropy and Mission Advancement Officer.
- Grants
- Support Development team and CEO on grant applications, to include collection and reporting of metrics to include compliance with grant mandates, goals, and outcomes.
- Provides CEO/Executive Director support on VOCA, USDA, and Nursing grant.
- Works with CEO/Executive Director on metrics related to the PRTF Value-based contracting pilot.
- Office Management
- Manages the day to day office functions, maintains CEO/Executive Director and Chief Philanthropy and Mission Advancement Officers' calendars.
- Perform general support duties as necessary for the team such as scanning, shredding, processing mail, printing, calendars management, and backup support to CEO/Executive Director and Chief Philanthropy and Mission Advancement Officer to ensure needs are met.
Educations And Background Requirements:
- 4 year college degree preferred.
- GAAP experience preferred.
- 5 years experience in similar positions.
- Accounting experience preferred.
Job Type: Full-time
Pay: $53,000.00 - $58,000.00 per year
