Executive Assistant Job at dentsu
The Executive Assistant hybrid role will provide high-level administrative and operational support to an Americas Regional Officer and will be the point of contact for internal and external stakeholders on all matters pertaining to the Office of the Chief Equity Officer (“Executive”). You will be a true right hand and second brain to the “Executive” and a natural extension of their day-to-day role.
The Executive Assistant hybrid role will partner with the Chief Equity Officer, Americas Region, who is responsible for leading all efforts to further refine and achieve diversity, equity, and inclusion (DEI) strategies and initiatives within dentsu, while elevating the quality of work across the region.
To be successful in this role, you must have the ability to build relationships and trust while working in close partnership with other members of the network as well as independently on projects, from conception to completion. Must work well under pressure in a fast-paced environment and handle a wide variety of confidential matters with discretion. Previous executive-level support experience, particularly in the C-Suite arena is required.
The ideal candidate will have worked for an agency environment and know how to deliver the following (but not limited to):
- Provides high-level administrative and project management support.
- Email Management: Prioritizes and flags key messages and deliverables. Responds on behalf of executive. Gatekeeper of all communications.
- Organizes and maintains a complex calendar; prioritizes and coordinates a high-volume of ever-changing schedules and priorities
- Ensure schedule is adhered to and respected but also have the ability to quickly adapt to last minute changes in plans, schedules, and itineraries; provide a bridge for smooth communication when changes occur
- Builds relationships internally at all levels of the organization (including the executive team) as representative of the “Executive’s” office
- Communicates and builds relationships with external partners (clients, vendors, organizations, media outlets, etc.) to act as an effective liaison
- Arranges and coordinates meetings, teleconferences, video conferences and other events across various time zones
- Organizes and prepares for regional gatherings including booking venues/speakers, setting agendas, booking appropriate restaurants, registering speaking engagements and registrations for conferences
- Organizes, researches, and prepares for briefings across multiple departments, agencies, vendors, clients, and times zones
- Coordinates and oversees domestic and international travel arrangements, including all necessary travel documentation
- Confidentially handles sensitive information, understands, and makes decisions based on priorities
- Collaborates with IT (Information Technology) for quick resolution of any technical difficulties
- Manage and track the DEI budget including submitting/approving expenses, reconciling corporate credit card, reviewing/submitting invoices, etc.
- Coordinates and executes special projects with America’s Chief Equity Officer
- Prepares and consolidates leadership dashboards and reports
- Directs leadership and operational communications to key audiences and stakeholders, as well as writes and prepares network-wide communications
- Represents America’s Chief Equity Officer leaders in relevant meetings, discussions, and conference calls
- Plans and directs administrative, financial, and operational activities for office of DEI
- Collaborates directly with DEI business leadership around strategic priorities
- Attends key industry, organization events and conferences with Chief Equity Officer with the intent to develop personally, professionally, connect with diverse talent, and build dentsu DEI employer brand awareness
- Bachelor’s degree preferred and/or five year’s minimum overall professional experience in relevant role and/or agency experience / C-Suite support experience
- Ability to accomplish results through influence and negotiation
- Participation on a virtual admin team

- Intermediate to advanced level of proficiency in Microsoft Office, including Word, Excel, PowerPoint, Teams, and Outlook, with the ability to learn other software applications quickly
- Experience in or willingness to learn Concur Travel and Expense system
- Adept at proofreading own and others’ work to eliminate errors
- Ability to solve complex problems, think innovatively, creatively, and strategically
- Anticipate risks and issues, escalate when needed
- Must be flexible, extremely well-organized and detail minded. Adept at follow-through, especially in the management of detail and multiple priorities
Additional Information
The anticipated salary range for this position is ($68,000-$110,000). Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications, and geography.
