About the Role
The Executive Assistant position supports the daily activities of the Executive Office for the Senior VP Pacific & Executive VP MTI (“SVP-Pacific”), and where appropriate, represents the SVP-Pacific in administrative matters, organizes and coordinates projects and activities both internal and external associated with the Executive Office. Provides support of all activities necessary to ensure the efficient and professional operation of the Executive Office, such as calendar scheduling, communication and special projects. The incumbent also coordinates with the Administrative Assistant to VP Hawaii Sales and Senior VP Government & Community Relations (“Admin Assistant”) in Honolulu and provides administrative support to the VP Sales Hawaii and SVP GCR. Confidential information of the highest nature requiring discretion and proper handling is entrusted to this position.
What you’ll do:
- Ensure that the Executive Office operates in an efficient and professional manner relative to scheduling the SVP-Pacific’s calendar. Ensure all communications (written, electronic and oral) are dealt with, by either the SVP-Pacific or another executive, with appropriate sensitivity to deadlines. Ensure that the SVP-Pacific’s Office effectively operates during periods when the SVP-Pacific is absent.
- Incumbent is required to effectively and professionally respond to a broad spectrum of inquiries from employees, Board of Directors, government entities, business associates and others by exercising independent judgment and initiative based on knowledge of Company policies and practices. Collaborates with various staff and departments (e.g., MTI and Guam) in preparing special projects, reports, and data analysis.
- Coordinate with the Admin Assistant in Honolulu and provides administrative support to the VP Sales Hawaii and SVP GCR.
- Coordinate bookings for the Company’s apartment(s), maintains reservation list, and arranges maintenance and cleaning.
- Provide support for Matson Navigation Company and Matson Terminals, Inc. leased and owned vehicles, including but not limited to, replacements, dealer maintenance, process invoices, update registrations, and distribution of insurance cards. Maintain admin pool car.
- Assist the other direct reports of the SVP-Pacific. Must have experience in coordinating board meetings and knowledgeable in working within different time zones. Coordinate events and regular activities such as scheduling of executive team visits; one-on-one meetings, maintain Pacific division community contact list, telephone logs and meeting logs.
- Assist the SVP-Pacific with the drafting of the General and Administrative budget for the Pacific Division and monitors expense activity. Review invoices for Pacific Admin accounts and process for payments.

And these qualifications:
- Four (4) or more years of progressive experience in a corporate office required.
- Bachelor’s degree (BA or BS) from an accredited institution in Business Administration or Business Organizational Management. May substitute for two (2) years of required work experience.
- C level administrative support experience preferred.
- Proven ability to organize and execute Executive functions and Company events.
- Experience working in coordination with global time zones and cultures.
- Able to work overtime, after hours, and on weekends in support of the activities of the Executive Office.
- Must have or be able to obtain and maintain a TWIC card.
