The Position

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.


Executive Assistant’s responsibilities include managing calendars, making travel arrangements, and preparing expense reports. The Executive Assistant will also be responsible for developing and maintaining high level presentations for distribution, and communications for key executives at Port Townsend Paper Company to internal and external stakeholders. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.


About Port Townsend Paper Company (PTPC)

The Port Townsend Paper (“PTPC”) mill has been in continuous operation for over 90 years. We operate on a continuous basis to produce OCC and kraft pulp which is used to manufacture linerboard, kraft paper, corrugating medium and market pulp. We have built a strong and loyal customer base by developing and nurturing strategic partnership-style relationships.

Job Responsibilities

  • Acts as the point of contact among executives, employees, clients, and other external partners.
  • Formats information for internal and external communication – memos, emails, presentations, reports.
  • Drafts, reviews, and sends communications on behalf of company Operations Manager.
  • Composes and prepares letters relating to routine correspondence for the Operations Manager’s signature.
  • Answers and responds to phone calls, communicates messages and information to the Operations Manager.
  • Prioritize emails and respond when necessary.
  • Manages Operations Manager’s calendar and sets up meetings.
  • Schedules departmental meetings; assists in the preparation and distribution of meeting agendas and materials.
  • Organizes and prepares for meetings, including gathering documents and attending to logistics of meetings.
  • Makes travel and accommodation arrangements.
  • Takes minutes during meetings.
  • Maintains confidential and sensitive information.
  • Assists with annual event planning.
  • Perform other related duties as assigned.


Communications:

  • Serve as point of contact for media and public questions.
  • Write and publish website, blog, and email newsletter content
  • Maintain our organization’s social media accounts, including content creation and curation
  • Measure and report on the effectiveness of communications activities
  • Assist with other external and internal communications duties as needed
  • Organize and direct promotional events.

Knowledge, Skills, and Abilities

  • Proven organizational skills and the ability to maintain precise records.
  • Excellent computer skills, including various Software programs and the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).

Required Experience

  • Three to five years’ prior experience in supporting a senior executive or team.

Required Education

  • Bachelor’s degree preferred.


Work Schedule & Environment

  • General work schedule is Monday-Friday within the 8-5- or 9-6-time frame.
  • Position will require travel and overnight travel on an occasional basis.
  • Some evening and weekend work.


Physical Requirements

  • Work is performed primarily in an office environment and requires sitting, keyboarding, or standing for extended periods of time.
