Executive Assistant Job at Properties Elevated
We are looking for an Executive Assistant to support the day-to-day needs of our executive staff. The right candidate will be capable of managing a busy administrative schedule, and is comfortable working with confidential information. We're looking to hire someone who can be flexible and focused on customer service, and is able to take direction while also identifying problems and proposing solutions.
Responsibilities:
- Answer incoming calls, make outgoing calls and greet callers in a professional manner.
- Schedule appointments and meetings.
- Update mailing lists, databases and other records.
- Make travel arrangements, appointments and reservations.
- Coordinate the activities of executive officers.
- Compile and maintain information about staff, vendors and company equipment.
- Manage calendars.
- Keep executive office area clean, organized and well-maintained.
- Other duties as assigned and based on experience.
This position will assist the company director in all things managing the business: email management, paperwork, filing and organization, calls, errands, calendar management, and other tasks as assigned or deemed needed. You will help manage the current portfolio and incorporating future investments/acquisitions/dispositions. This company manages real estate investments and also has various other investments and equity positions in other businesses and companies. An ideal candidate will be flexible, teachable, and capable of improving the current state of management and processes you will be involved in.
*You MUST be proficient on the computer--MS Office Suite, PDF and filling out forms digitally, learn quickly on new softwares and platforms you haven't used before, have great communication and coordination skills with vendors, bookkeepers, partners, etc.). This position is always changing and adjusting to the needs of the business; you will need to be flexible and enjoy change and growth. Experience in real estate investing is not required but is a definite plus.*
