Job Responsibilities:
Executive Assistant
Support the CEO and President in all aspects of the daily operations of the business.
Full calendar management: organize all aspects of meetings, resolving scheduling conflicts, and ensuring the availability for events/meetings.
Arrange travel reservations for executives including flights and hotel.
General office duties including keeping the office organized, ordering supplies, stocking supplies.
Manage confidential administrative responsibilities and projects with diverse objectives.
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
Support with administrative tasks for the team, including but not limited to research tasks, drafting correspondence, and other project management tasks.
Work with the Operations team and the Office of the CEO on improving existing workflows and suggesting process improvements.
Assist with onboarding/offboarding support with HR, Recruitment and our IT services provider.
HR Assistant
Recruit, Source, engage and hire mission-driven, quality candidates in-line with hiring goals.
Understand the best ways to find and engage qualified candidates from entry level to executive.
Conduct phone screens and facilitate on-site interviews for hiring managers.
Communicate with hiring managers to research and plan sourcing funnels.
Develop a talent pipeline for future hiring needs.
Organize and Maintain candidate database (e.g., via our Applicant Tracking System)
Performs administrative and office support functions such as composing and preparing confidential correspondence, equipment maintenance and vendor coordination.
Must be able to achieve high performance goals and meet deadlines in a fast-paced highly dynamic environment.
Requirements:
Strong knowledge of Windows and the Microsoft Office suite of products
Adept at learning new software programs.
Excellent verbal and written communication skills.
Ability to work independently and with a team.
A positive attitude even in intense situations with tight deadlines.
Superlative organizational skills, thinking ahead on tasks to anticipate future needs and/or potential challenges that may arise.
Ability to problem solve, daily exercising sound administrative judgement with a sense of urgency and in absence of supervision.
An adaptive and collaborative style respecting the needs and contributions of others.
Diplomacy, confidentiality, and the ability to prioritize.
