Position Overview:
About the Role:
The Executive Assistant is responsible for providing world class administrative support for company executives to ensure they can efficiently accomplish key tasks and company initiatives. The Executive Assistant will manage the executive’s daily calendar, including scheduling meetings, managing agendas, and coordinating travel arrangements. The Executive Assistant should be a professional individual who is always well-presented, as they will be dealing with both internal colleagues and external visitors on behalf of their leadership team. Executive Assistants also train other administrative staff on company policies and best practices. Ultimately, they will contribute to the efficiency of our business by providing individualized and timely support to executive members.
Roles & Responsibilities
- Acting as the point of contact between executives and internal or external colleagues
- Calendar Management – balancing complex executive calendars and schedules
- Travel Management - booking travel arrangements and preparing detailed travel itineraries
- Expense Management - process expenses and prepare weekly, monthly, or quarterly reports
- Supply Management – manage office supply needs and requests from leadership and teams in partnership with administrative community, ensuring organization of office supply inventory
- Conference Room Management- organizing meetings, booking meeting space, and arranging for seamless meeting execution
- Manage and organize files, reporting, and ensuring data accuracy for all executive documents
- Campus Floor liaison – manage daily and weekly communication to leaders and teams on designated floors, including COVID protocols and maintaining weekly office entry tracking system
- Active listener and learner to establish clarity and familiarity across department functions within the company to communicate with them effectively and accurately, including Product Life Cycle and Executive Meeting cadence
- Prepare reports and/or special projects, which may include data collection, coordination, final copy preparation, distribution, etc.
- Must have the ability to incorporate creative approaches to various projects by taking initiative and working independently
- Format information for internal and external communication – memos, emails, presentations, reports
- Screen and direct phone calls and distribute correspondence
- Manage information flow in a timely and accurate manner
- An ideal team member will be able to work well independently but also be flexible enough to be directed at times
Requirements
- 5-7+ years working experience as an Executive Assistant, Administrative Assistant, or similar role.
- Advanced computer skills including Microsoft Office 365 – Word, Excel, Outlook, and PowerPoint required; Proficiency with HRIS systems and applicant tracking systems strongly preferred
- Outstanding organizational, prioritization and time management skills
- Willingness to enthusiastically complete both high-level and low-level tasks
- Ability to communicate clearly and concisely, both verbally and in writing
- Commitment to achieving a high level of accuracy and attention to detail
- Professional discretion and confidentiality

Education: Bachelor's (Preferred)
Work Location: New York City, Times Square Campus
The target salary for this role is: $95,000 - $110,000.
Actual compensation within that range is influenced by a wide array of factors including, but not limited to, skill set, level of experience, and other job-related factors.
