Richard Bland College of William and Mary is seeking to find a highly skilled professional to fill the role of Executive Assistant/Office Manager.
Reporting directly to the President, the Executive Assistant/Officer Manager manages a wide variety of complex activities, projects, and tasks with discretion, confidentiality, and professionalism in support of the Office of the President. This position provides executive support in a one-on-one working relationship to the President and also serves as the administrative liaison to the William and Mary Board of Visitors, the governing body for Richard Bland College, W&M Board staff, and the Richard Bland College Foundation Board, a 501©(3) nonprofit corporation governed by a volunteer Board of Directors. The Executive Assistant/Office Manager coordinates the President’s schedule, meetings, and prepares correspondence. In addition, this position also serves as the office manager to ensure effective day-to-day operations of the Office of the President. The position conducts research and analysis as needed; develops committee agendas, minutes, reports, presentations and remarks, and other communications for the President. The successful candidate must be highly organized and enjoy working within an environment that is mission-driven, fast-paced, and results-oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, strong written and verbal communication skills, good administrative skills, the ability to be proactive and resourceful, and the ability to maintain a realistic balance among multiple priorities. Additionally, the position is expected to comply with all college policies and procedures, and actively support the College’s affirmative action program and the goals of open access and diversity.

Executive Support:
Meetings/Travel/Special Events:
  • Manages an active calendar of appointments for the President. Works closely and effectively with the President to keep her well informed of upcoming commitments and follows up appropriately.
  • Schedules, organizes, and coordinates with the College’s senior leadership team to include President’s Cabinet and President’s Council monthly meetings and ad-hoc meetings convened by the President. This includes the coordination, preparation, and distribution of agendas and materials, as well as taking, finalizing, and distributing meeting minutes.
  • Assists with management of President’s Council/College Committee assignments and process.
  • Manages the logistics of presidential meetings and travel including arrangement of complex and detailed travel plans, itineraries, and agendas for the President.
  • Plans and coordinates logistics of meetings for the President and on-campus meetings including senior leadership, including those held in the President’s Conference Room.
  • Plays a key role in the planning, coordination, and execution of special events to include Commencement, Student Leaders Dinner and Staff Appreciation Event, and other events as assigned.
  • Serves as the administrative liaison between the President and William and Mary Board of Visitors and the President and the Richard Bland College Foundation Board, including responding appropriately to all information requests from Board members and communicating with the Board members on behalf of the President as necessary.
  • Assists the President in managing and organizing office functions by serving as office manager, ensuring that all relevant administrative tasks and day-to-day office operations are managed in a highly efficient, effective and professional manner; assists in developing and maintaining well-organized administrative files.
  • Serves as FOIA Officer for the College, responds to all FOIA requests per the Code of Virginia requirements and in consultation with College Counsel to ensure compliance.
  • Provides guidance and training to deputy FOIA Officer.

Minimum Qualifications
  • Strong work tenure: Comprehensive knowledge and experience supporting C-Level Executives
  • Considerable experience serving as administrative liaison to Boards of Directors
  • Considerable experience managing an office
  • Strong organization skills that reflect the ability to perform and prioritize multiple tasks and be adaptable to competing demands.
  • Excellent attention to detail.
  • Expert-level written and verbal communication skills
  • Demonstrated proactive approach to problem solving with strong decision-making capability.
  • Forward looking thinker who actively seeks opportunities and proposes solutions.
  • Highly resourceful, with the ability to work independently effectively.
  • Proven ability to handle confidential information with discretion.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Extensive knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat

Preferred Qualifications
  • Bachelor’s degree in business, marketing or related field
  • Comprehensive knowledge and experience supporting a President or Chief Executive Officer
  • Considerable years of administrative experience in a Higher Education setting
